General Description

The Budget Assistant will provide administrative and financial support. This position is responsible for the day-to-day accounting, budgeting, accounts payable and purchasing operations.

  • Reviews and reconciles monthly expense statements, monitors monthly expenditures, and gathers supporting documentation for supervisor review and approval.
  • Creates and maintains spreadsheets utilizing appropriate software applications.
  • Locates and compiles information and formats reports, graphs, tables, records and other sources of information.
  • Maintains records through filing, retrieval, retention, storage, compilation, coding, updating, and purging.
  • Places orders and expedites deliveries with various vendors and suppliers. Verifies shipments and follows up on status of orders and deliveries. Resolves problems as needed.
  • Processes invoices, purchase requests and/or payroll forms. Completes necessary documents and forms, applies appropriate codes and follows established processing procedures.
  • Processes new hire request forms for HR postings into NEXUS.
  • Processes sponsored projects invoices in SAP (FV70).
  • Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
  • Performs basic arithmetic operations to calculate and/or verify expense totals and account balances.
  • Operates office equipment such as photocopier, fax machine, and calculator.
  • All other duties as needed/required.

Qualifications:

  • High School Diploma or GED required
  • Two years related work experience required
  • Two years college with courses in accounting, business, or equivalent experience preferred
  • Three years of experience preferred
  • Additional education may be substituted for experience
  • Experience in the use of software applications, databases, spreadsheets, and/or word processing required

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
