We are seeking an Associate Registrar to work out of our headquarters in Santa Barbara on a full-time 37.5-hour per week basis. Due to COVID-19, employment will be working from home until we can safely open our Santa Barbara office.

 

Summary

The Registrar's office supports the instructional mission through accurate and timely transcription of the educational process and protects the integrity of the Fielding degree through policy action. The Associate Registrar provides leadership to staff and ensures the development and implementation of policies and procedures for managing the Office of the Registrar. The Associate Registrar represents the Registrar as directed and provides a high quality of customer service and leadership in both daily operations and for special projects. May represent the Office of the Registrar on high-level University committees. Under limited supervision, the Associate Registrar administers the overall operations of student records management at Fielding Graduate University, collaborating with academic and other departments to contribute to the retention of students and assists the Registrar with future planning for the office. Ensures compliance with Family Rights and Privacy Act and all other applicable laws and regulations. 

 

The Associate Registrar works independently to develop, process, maintain and provide systems to maintain student academic records and an; on-line degree audit reporting system; administers storage, security, accuracy, and preservation of academic credentials in accordance with university policy, accreditation standards, and privacy laws; and interprets and enforces academic rules and regulations. The Associate Registrar will analyze current Registrar office processes for the tasks they supervise, including documentation, procedures, and forms, to aid in the improved overall running of the office as needed and lead project management of new procedural, regulatory or software implementations that affect said processes they supervise.

 

The Associate Registrar will strive toward continued enhancement of student services and registrar unit operations, and serves as a primary liaison with all other departments and internal/external constituents, including but not limited to: 

• Admissions/Recruiting for prospects with Veterans benefits and other external funding sources 

• Institutional Research – VA reporting for internal and external purposes 

• Enrollment Operations, Financial Aid & Information Technology for onboarding new students 

• Graduate Program Advising for re-enrolling students 

• Information Technology for integrated system enhancements, implementation projects, testing and upgrades 

• Student Accounts for billing issues, invoicing third parties, reimbursement documentation 

 

The Associate Registrar is a main point of contact for students and alumnae in need of service, and is the acting Registrar when the Registrar is absent. This position will directly supervise three employees. Some travel to events may be required.

 

QUALIFICATIONS

BA required; Masters degree in an area related to student personnel administration preferred or equivalent combination of education and experience that provides the required knowledge, skills and ability.

 

A minimum of five years of related experience with a minimum of two years of supervisory experience is required. Preference will be given to candidates with experience in a position with similar responsibilities.

 

The ideal candidate will possess a professional, collaborative, and upbeat approach to their work. Exceptional communication and interpersonal skills, as well as the ability to work effectively with a wide range of constituencies in a diverse community. This position will require independent judgment and to manage and impart confidential information. Applicants should have the ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.
