General summary/purpose:

Reporting to the Director of Case Management, this position will provide support for Office of Institutional Equity (“OIE”) case management and database management, as well as administrative assistance to OIE leadership, the Director of Case Management, and investigative staff.It will provide assistance on ad hoc, special projects, as assigned by the Vice Provost and Assistant Vice Provost/Title IX Coordinator. This role requires a high level of professionalism, confidentiality and the ability to interact with a wide range of constituencies, including individuals who might be experiencing a great deal of stress.

Note: This position is not eligible not eligble for visa sponsorship.

Specific duties & responsibilities:

  • Provide support to the Director of Case Management, as needed, including updating Advocate GME (case management system), proofreading investigation reports, redacting documents, and making investigation materials available for party review through Microsoft OneDrive
  • Support Equity Compliance Investigators by attending interviews and taking detailed and accurate notes
  • Prepare and send initial outreach materials, Notices of Assessment/Investigation, and No Contact Orders
  • Conduct intake interviews with reporting parties and help assess reported conduct under OIE policies
  • Draft communications to parties and witnesses involved in OIE matters
  • Perform projects,as assigned, including data analysis and research into such topics as restorative justice and informal resolution strategies
  • Proofread policy documents and perform related research, as needed
  • Track and monitor all OIE trainings
  • Provide trainings to University community members, as assigned and as needed
  • Monitor and update the OIE websites, as needed
  • Provide administrative support for OIE leadership and Equity Compliance Investigators, including, but not limited to, scheduling and evidence gathering
  • Additional duties as assigned

Minimum Required Qualifications (mandatory):

  • High School Diploma/GED and 5 years related experience required. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • Confidentiality, tact and a high level of administrative and communication skills
  • Ability to interact in high stress situations, and with individuals who may have experienced trauma, using discretion and sensitivity
  • Strong attention to detail and accuracy
  • Commitment to advancing diversity, equity, and inclusion efforts at Hopkins

Preferred Qualifications:

  • Experience advancing diversity, equity, and inclusion efforts
  • Ability to write concisely and effectively
  • Excellent interpersonal, problem-solving and organizational skills

  • Experience in education, legal environment or other area where written and analytical skills were essential
  • Ability to work independently, proactively and creatively
  • Ability to learn new information and systems quickly and competently
  • Competency in Microsoft Office suite software and demonstrated knowledge of database management

Additional Preferred Qualifications:

  • Knowledge of Advocate/Advocate GME
  • Knowledge of website creation and management (i.e. SiteExecutive)
  • Knowledge and understanding of current and emerging issues related to discrimination, harassment, and sexual misconduct in higher education

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
