General Summary/Purpose

The Administrative Coordinator must be able to work in a demanding, fast-paced, and collaborative work environment. This position works directly with the senior epidemiologist of the Johns Hopkins COVID-19 Call Center Investigation, Contact Analysis, and Notification (JHCCC-ICAN) team and serves as a member of the JHU Student Health and Well-Being group.

Specific Duties & Responsibilities

The Administrative Coordinator is responsible for maintaining smooth daily operation of ICAN, ensuring that all policies, documents, and procedures adhere to expectations set forth by JHU leadership, senior JHCCC staff, and the local health department.

This position requires the ability to multi-task, prioritize, and be proactive. Exercises independent judgment in the resolution of problems, prioritizing of multiple deadline-sensitive tasks, and management of various systems. The Administrative Coordinator will deal regularly with sensitive and confidential information and must always exercise the utmost professionalism and discretion.

General

  • Ability to perform effectively despite sudden deadlines and changing priorities; maintaining personal composure in high stress situations.
  • Ability to perform with a high degree of accuracy and with meticulous attention to detail. Demonstrate a strong ability to use initiative and judgment and to identify, analyze and solve problems.
  • Ability to proficiently operate PC’s and PC applications.
  • Prioritizes and organizes own work and the work of others to meet department demands.
  • Makes decisions regarding work process based on established guidelines (i.e., covering for manager). Assists in the development of procedures for the unit.
  • Independently evaluates individual employee or employee flow situations and be able to implement the appropriate actions/steps in a timely fashion.

Operations

  • Assist in scheduling meetings with internal and external stakeholders to address implementation and overall policy issues and processes.
  • Assist with human resources, including but not limited to staff scheduling, onboarding and offboarding, and organizing and responding to HR concerns for a large (>20 person) team consisting of full-time contact tracers and part-time graduate students. Assist in staff emergencies to ensure emergency protocols are followed.
  • Assist with orientation and training of new hires/contractors/volunteers and existing case investigation and contact tracing staff. Maintains recordkeeping for completion of role-specific knowledge and skill-based training courses, familiarity and proficiency with relevant guidance and scripts for interactions with patients and contacts, as well as surveillance and data management systems.
  • Compile the review and analysis of ICAN results as required for internal JHU leadership reporting.
  • Respond to budget requests in collaboration with supervisor.
  • Assist with collaborative learning opportunities such as facilitating meetings to discuss lessons learned with both successful and poor outcomes of case investigations, notification of exposure and isolation/quarantine compliance and monitoring.
  • Other duties as assigned.

Epidemiology

  • Assist in analyzing and reviewing COVID-19 contact tracing interviews and exposure investigations.
  • Assist with gathering, cleaning and organization of epidemiological data.
  • Assist with COVID-19 outbreak/cluster investigations.
  • Assist with compiling reports to the local health authorities.
  • Other duties as assigned.

Minimum Qualifications(Required)

High School Diploma/GED.

Three (3) years related experience.

Additional education may substitute for required experience, to the extent permitted by the

For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

Preferred Qualifications

  • Bachelor’s degree preferred.
  • Public health background, experience, and/or advanced degree strongly preferred.
  • Preferred Skills: REDCap, Microsoft Office, Mazik or other EMR-related experience

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
