The Director of Stewardship and Communications works within the Office of Institutional Advancement (IA) to plan and execute the College’s donor engagement and stewardship programs and communications. The director also assists with college-wide events and with written communication produced for The Carthage Fund and other projects as directed by the AVP.

The Director works with and takes direction from senior staff to develop and implement programs that foster and nurture lasting relationships between Carthage College and its donors and to steward gifts – specifically endowed funds, campaign gifts, principle gifts, and gifts from major donors. Aspects of these programs include prospect development, communications, fundraising volunteer management, and gift recognition. 

This position reports to the Associate Vice President for Advancement.

ESSENTIAL FUNCTIONS:

Duties include, but are not limited to:

  • Prospect Development
    • Works with major gift officers to develop and execute custom small events for targeted groups and individuals.
    • Works closely with the director of advancement programs to manage all logistical details for all donor relations events.
  • Communications
    • Prepares and distributes communications that support donor strategies.
  • Coordinates the preparation and distribution of invitations and follow-up communications related to donor events.
  • Coordinates all aspects of creating custom donor impact reports.
  • Coordinates the creation of a database of donors to be featured in publications and coordinates with the strategic placement of these stories in channels such as the Carthaginian, College web site, planned-giving newsletters, and social media.
  • Coordinates the production and distribution of the Leaders in Philanthropy newsletter.
  • Manages other donor stewardship communications, which include maintaining donor honor rolls and producing other donor publications as needed.
  • Assists gift officers to customize and execute annual direct appeals to managed prospects.
  • Assists the director of The Carthage Fund in writing fundraising appeals.
  • Assists the AVP in other writing projects, as assigned, such as writing event scripts, campaign case statements, press releases etc.
  • Fundraising Volunteer Management
  • Works with senior fundraisers to support volunteer engagement programs, including coordinating all logistical aspects of volunteer meetings, preparing agendas and meeting notes, volunteer materials (job descriptions, manuals, etc.) and other communications as needed, and maintain records online and in database.
  • Gift Recognition & Stewardship
  • Manages campus gift recognition programs, including individual named donor recognition plaques, donor walls, brick walkways and pavers.
  • Manages purchasing and preparing individualized gifts for naming gift donors and other similar gifts as needed.
  • Manages endowment stewardship programs, including endowed scholarship student thank you letters, endowed scholarship gift agreements, and individualized annual endowment reports for donors. Works with Financial Aid to ensure endowed scholarships are awarded appropriately.
  • Engages, manages, and coordinates student workers in executing any of the above (e.g. scholarship tracking; completing room arrangements, online look-ups, mailings, etc.)
  • Performs other duties as assigned

 

SUPERVISORY RESPONSIBILITIES: hire/supervise/organize student workers

 

MINIMUM QUALIFICATION REQUIREMENTS:  

  • Bachelor's degree or equivalent significant related experience required
  • Minimum of three years higher education experience preferred
  • Demonstrated success with special event and project management; strong organizational and time-management skills and attention to detail
  • Excellent oral and written communication, including copywriting and writing for fundraising
  • Strong skills in spreadsheets, word processing and relational databases
  • Ability to work in a fast-paced, high-volume, and confidential service environment
  • Ability to work flexible hours as needed for occasional special events
