University Registrar, Assistant Vice President of Service Central

The University Registrar, Assistant Vice President (AVP) of Service Central maintains the integrity of all student admissions and academic records, verifies the student registration process and the reporting of grades, manages University curriculum and academic policies, maintains compliance with Family Education Rights and Privacy Act (FERPA) regulations, confirms students’ graduation eligibility, and participates in the planning of commencement activities.

We’re looking for candidates who have:

  1. A minimum of 5 years’ experience and a proven track record managing records systems and staff in a registrar’s office or admissions office environment in higher education. Experience with Colleague preferred. Master’s degree preferred. 
  2. Ability to deal effectively with various constituencies in enforcing University academic policies.
  3. Excellent written and interpersonal communication skills and demonstrated leadership and organizational skills.
  4. Ability to respect confidentiality and privacy for all student data.
  5. Successful supervisory experience.
  6. Technical, analytical, and problem-solving skills.
  7. Proficiency in detailed, accurate information and data.
  8. Capacity to be flexible and work collaboratively in a changing work environment.

Key Job Duties: 

Mission Contribution

In this role, the University Registrar and AVP contributes to the mission by providing leadership and vision to the operations of the Registrar’s Office, committed to serving CCU students by ensuring they have the transactional support in their academic pursuits to successfully pursue an education with a Christian worldview, transforming their lives with personal values and ethics.

AVP

  1. Directs the Registrar’s office budget, and determines staffing selection, training, and evaluation.
  2. Supervises the Service Central team.
  3. Collaborates with internal constituents on initiatives designed to improve curriculum offerings and increase enrollment.
  4. Develops systems and applications to improve the efficiency of the registrar’s office and effectively manage internal processes.
  5. Maintain office currency in operational trends, reporting practices, and state and federal regulations.
  6. Collaborate with academics on articulations and transfer agreements.
  7. Facilitate interpretation and enforcement of academic policies and regulations of the University.
  8. Partner with financial aid, student accounts, and academic services to facilitate student registration and retention.

Registrar’s Office

  1. Manages and directs the operations of the registrar/records office, including all processing of admissions documents, transcript evaluation, degree audit and graduation, diplomas and other graduation items, CCU transcript fulfillment, enrollment and degree verification, and service tickets from academic advisors, deans, and faculty.
  2. Maintain current registrar office information published on internal web sites, including academic calendar notifications (registration, census date, drop deadlines, etc.).
  3. Maintain all student academic records, including student demographic data, student records integrity, and document archiving.
  4. Provide support for effective student registration processes.
  5. Maintain accuracy of academic and enrollment reporting to support Integrated Postsecondary Education Data System (IPEDS), National Student Clearinghouse, and other reporting needs.
  6. Facilitate academic standing processes, and maintain procedures for probation, withdrawals, and suspensions/dismissals.
  7. Administer academic calendars/schedules, such as term dates, grades deadlines, exams, drop/withdrawals timelines, etc.
  8. Manage posting of all grades per schedule and to meet academic standing/satisfactory academic progress requirements.
  9. Collaborate with internal constituents on building of term course and registration schedule.

Commencement

  1. Validate student eligibility for commencement participation and collaborate on the commencement printed program.
  2. Manage the in-person and virtual commencement registration processes.
  3. Direct commencement communication flow to eligible graduation candidates.
  4. Maintain current commencement information published on public and internal web sites.
  5. Participate in commencement activities on the day of the event, including student check-in at the ceremony.

Catalog/Curriculum

  1. Manage the annual academic catalog and all curriculum and policy standards that are documented in the catalog.
  2. Collaborate with College of Undergraduate Studies, College of Adult and Graduate Studies, and CCU Academy academic affairs on all academic changes, and student life and student success on academic policy change.
  3. Catalog publication, including all course and program changes in the online catalog and in Colleague.
  4. Train deans, faculty, and administrators on the Acalog platform (Catalog software).
  5. Maintain integrity of courses in Colleague and self-service course catalog, including course fees.

Chief University FERPA compliance office

  1. Enforce the provisions of the Family Education Rights and Privacy Act (FERPA) regarding all student educational records.
  2. Maintain confidentiality on student records and transactions.
  3. Monitor and advise University practices related to student data integrity and privacy.

Work Environment

While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 25 pounds.

Colorado Christian University’s pay philosophy is based on internal and external data for pay equity; along with budgetary considerations for effective stewardship. Pay will be assigned based on relevant experience at a range of $90,000 - $100,000. We reserve the right to pay an equitable rate that we believe is within our salary structure or that may fit a candidate’s qualifications or experience for the job.
