Job Summary

As a member of the payroll and student employment team this position will engage in all aspects of the bi-weekly payroll and daily student employment processes with a concentration in student employment. This position will support the Smith community throughout the full Student Employment process, answer questions, explain procedures, and train students and managers in these processes. This position must understand and enforce the college’s payroll, student employment, and Work-Study policies. Payroll responsibilities include understanding and validating complicated data elements, data entry, and the review of system generated and data entered by others. This position will use Workday and other supporting technologies to complete their responsibilities. This position may also supervise student workers.

Essential Functions

Student Employment (70%)

As a member of the payroll and student employment team this position will engage in all aspects of the bi-weekly payroll and daily student employment processes with a concentration in student employment. This position will support the Smith community throughout the full Student Employment process, answer questions, explain procedures, and train students and managers in these processes. This position must understand and enforce the college’s payroll, student employment, and Work-Study policies. Payroll responsibilities include understanding and validating complicated data elements, data entry, and the review of system generated and data entered by others. This position will use Workday and other supporting technologies to complete their responsibilities.

Payroll (20%)

Process all aspects of the payroll in a timely and accurate manner which includes data entry, running processes, and distribution of checks/notifications. Assist employees in the completion of employment forms, including Form I-9, W-4, State Withholding and Direct Deposit. Work closely with human resources, provost office and other departments to ensure that timely and accurate data is received, audited and processed. Process periodic and quarterly tax filings with OSV, reconcile discrepancies, and work closely with the OSV to validate data and the accuracy of agency filings. Audit payment requests for accuracy and proper authorization. Respond to inquiries and problem solve. Assist in the year end processing of Forms W-2, 1042S and 1099. Prepare and review payroll reports as necessary. Serve as a back-up for the payroll process.

Other Functions

Other Duties (10%)

Support account reconciliations and other accounting processes. Participate in month-end and quarterly closing processes. Support the controller’s team with special projects, fiscal year-end audit, Form 990 preparation, IPED, NACUBO, and other submittals. Scan, file, and other administrative tasks. Other Student Employment and Payroll duties as assigned.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

Associates Degree in Accounting or relevant field, plus two years of payroll or human resources (student workers) experience, or an equivalent combination of education and/or experience.

Experience working with diverse backgrounds.

Preferred Qualifications

Bachelor’s Degree and /or experience with Workday and student employment preferred.

Skills

Demonstrated organizational, interpersonal and communication skills; strong attention to detail and data entry accuracy; excellent judgment, discretion and ability to maintain confidentiality; demonstrated written and verbal and communication skills with the ability to interact with diverse constituencies; ability to manage multiple tasks simultaneously; ability to work in a fast-paced environment, ability to work on a team and independently; strong computer skills, preferably with Microsoft Office (Excel and Word) and Workday.
