Provide support and general assistance to the Syracuse University Humanities Center, which offers diverse programs and research supports across the University, and regionally, via the CNY Humanities Corridor. Professional, reliable, positive customer service is key, as is strong communication, organization, relationship-building, initiative, and attention to detail. Willingness and ability to assist colleagues, interact with diverse communities, and assume varied duties to support an inclusive, welcoming environment. Willingness and ability to learn and adapt quickly and to work as part of a team, autonomously and collaboratively. Manage HC spaces, repairs, supplies. Coordinate in-person and virtual events: communicate with partners, secure physical and/or virtual spaces, support board and review meetings, arrange tech support and accessibility accommodations, arrange travel, inclusive menu planning. Involves range of clerical work: coordinate calendars and mailings, manage distribution lists and listservs, assist in preparing and editing correspondence, check materials for accessibility, prepare reimbursements, arrange special purchases.

Qualifications

• High School Diploma with three (3) plus years of experience required. Associate’s degree or equivalent preferred with two (2) plus years office experience preferably in an academic environment.

Job Specific Qualifications

• Familiarity with current and emerging technologies for virtual and in-person event planning.

• Solid understanding of Microsoft Office, Adobe Professional suite, and Google suite, with ability to create and revise documents.

• Familiarity with creating accessible-format materials preferred.

• Good oral and written communication skills.

• Strong interpersonal skills.

• Good organizational skills and ability to multi-task in a fast-paced professional environment.

• Ability to learn and adapt quickly as University tools and policies evolve.

• Ability to maintain a high level of confidentiality with sensitive information.

• Knowledge of PeopleSoft or related system is preferred but not required.

Responsibilities

• Serve as initial departmental representative to incoming constituencies as appropriate, and perform administrative and clerical duties that require limited independent judgment, yet some level of confidentiality.

• Interpret policies and procedures.

• Handle a variety of tasks supporting students, faculty, and staff.

• Provide support to Director and Humanities Center staff, including Corridor staff.

• Perform secretarial duties and coordinate office routine, which may include: managing and coordinating calendars, schedules, and appointments; coordinating space use and repairs; making travel arrangements; assisting in the preparation and editing of correspondence and checking documents for accessibility; coordinating mailings and managing department listservs; hiring, training, and supervising student employees.

• Support in-person and remote-format event planning and setup for various HC initiatives (communicate with partners, secure spaces, coordinate signature events, support Center and Corridor board and review meetings, inclusive menu planning/catering, arrange appropriate technical support and accessibility accommodations [ CART, ASL, etc.], and more).

• Respond to general department inquiries. Forward complex inquiries to department representatives.
