Job Description:

ESSENTIAL FUNCTIONS:

Supports the Director of the Murphy Center for Ignatian Spirituality This includes:

  • scheduling appointments, meetings and events

  • maintaining the entire CIS database system on a regular basis

  • responsible for updating the Information Sessions program brochures for the fall and spring semesters with the assistance of the university’s marketing department

  • managing all new incoming applications for spiritual direction for adults as well as students

  • assisting the Assistant Director of the Center in the evaluation of the new directee applications assigning them to one of the available spiritual directors

  • assisting the spiritual directors of the Center with room reservations for scheduled appointments with their directees on the CIS calendar and updating the calendar on a daily basis as needed

  • accountable for forwarding the new directee’s application to the assigned spiritual director

  • responsible for following up with the spiritual director on the status of meeting with their assigned directee

  • coordinating the setup of events with food service, room reservations and with various departments



Provides general office support. This includes:

  • greeting and assisting visitors and telephone callers

  • sorting and distributing daily mail

  • responding to routine correspondence including renewal of subscriptions

  • prepare purchase requisitions, check requests, employee reconciliation reports and other financial forms

  • assisting with the administrative budget

  • maintaining files

  • auditing incoming invoices and initiating payment



Assists with various special events, including:

  • assisting the set-up and coordination of New Faculty Orientations and New Faculty Dinners

  • assisting the Assistant Director of CIS with mailings for special events and for fundraising purposes



Participates in the professional development of the departments. This includes:

  • promoting an image of efficiency and courtesy throughout the University community and consistent with the mission of the Office of the Vice President of Mission & Identity and the Center for Ignatian Spirituality

  • participating at meetings as necessary

  • serving as a responsible committee representative as requested



Promotes safe and secure working conditions. This includes:

  • promoting the proper utilization of equipment and materials.

  • notifying supervisor immediately of any unsafe working conditions.



Performs other related duties as requested.
