The department of Athletics at West Virginia University is seeking applications for an Assistant Athletics Director for Ticket Operations. This position is responsible for planning and administering the sale, allocation and distribution of football and men's basketball season tickets to customers after careful evaluation of each applicant’s donation and seating history; coordinating the sale, allocation and distribution of single game and postseason game tickets for all athletic events that admission is charged; supervising the allocation and distribution of all tickets including WVU student tickets; solving problems that arise from ticket and parking allocations and lost tickets; maintaining records regarding special ticket requests and block seating; coordinating the distribution of complimentary and trade tickets.

In order to be successful in this position, the ideal candidate will:

  • Serve as the primary ticket office liaison to the Mountaineer Athletic Club (staff and donors) regarding priority seating plans and customer service for athletic events.
  • Serve as primary ticket office contact for the Athletics Business Office (ABO).
  • Manage the department’s usage of the Paciolan ticketing system. Responsible for all aspects of the Paciolan system including maximizing the unit’s utilization of the available functions within the Paciolan system within a strong emphasis on digital/mobile ticketing.
  • Plan on-going communications with customers, implementing ticketing and donor policies, record-keeping and allocation. Must possess interpersonal skills, ability to logically plan and ability to arbitrate with individuals.
  • Supervise and manage all athletic ticket office personnel (full-time and seasonal part-time employees) including interviews, hiring, training evaluation and, if necessary, dismissal.
  • Schedule work hours and assignments, communication policies and procedures and approving customer requests. Must have ability to plan logically, supervise and convey oral and written instructions.
  • Serve as the athletic department's primary liaison with the university's central ticket office as it relates to the University’s use of athletic venues, primarily the WVU Coliseum, for concerts and other shows.
  • Supervise and assume responsibility of daily sales deposits, as well as event ticket sales deposits, into an established clearing account and into both state and WVU Foundation by providing direction, reviewing and verifying all such transactions with tellers and completing the necessary deposit reports to ensure accurate accounting. More than $20 million per year is deposited via the ticket office.
  • Implement marketing plans as it relates to athletic ticket sales, including assisting in the development of plans to stimulate ticket sales. Work with the Senior Associate Athletics Director/External Affairs and Assistant Athletics Director/Marketing to develop comprehensive and effective ticket sales operation via direct sales, mail orders, customer service, hone sales, telemarketing, customer service, outlet sales and promotions. Develop and administer plans, staff training and game-day operations. Must have the ability to communicate with important constituents and plan logically and maintain accurate records.
  • Administer the resolution of all customer-related problems concerning tickets and parking passes. Serve as the primary contact between the Department of Intercollegiate Athletics and its largest constituent group - ticket customers/fans. Duties include identification, communication, follow-up and servicing customer concerns. Must have ability to plan logically, communicate with customers in a positive manner and convey oral and written instructions and policy.
  • Administer all transactions including approval, verification and processing relative to ticket refunds and worthless check collection. Responsible for maintaining accurate and thorough documentation system.
  • Supervise all game-day, part-time ticket personnel, including ticket sellers and ticket takers for all athletic events that admission is charged. Duties include hiring, training, evaluation, dismissal, scheduling work hours and assignments, distributing tickets of game­ day sales and communicating procedures. Must have ability to plan logically, supervise and convey oral and written instruction.
  • Coordinate with appropriate parties the sale and distribution of tickets to events held at other institutions and facilities, i.e. away games and postseason events. Duties include assignment and allocation of tickets, develop ticket settlement reports and assist with related audits. Must have ability to maintain accurate records and interact with other ticket managers. Coordinate the distribution of tickets via NCAA guidelines to student-athletes and prospective student-athletes. Must have ability to maintain through and accurate records, interact with other ticket managers and have a working knowledge of current NCAA policies.
  • Coordinate the design, purchase and printing of all ticket forms and stock as well as equipment related to the sale and distribution of tickets. Duties include the solicitation of quotes from vendors, oversee predations of purchase orders and working the sports publications director regarding creative material. Must have the ability to plan logically and effectively.
  • Manage sensitive and confidential information related to student-athletes, coaches and staff utilizing discretion and correct decisions. Failure to use proper discretion at required level could result in major and significant embarrassment to the University and/or have a significant impact on image, revenues and eligibility of student-athletes.
  • Manage professional and personal time to handle time sensitive-issues, tight deadlines, extended hours beyond the normal workday, weekend work, and regular travel in-season and on-call availability.


Qualifications :

  • Master's degree, preferably in sports administration, business, or similar field.
  • Relative experience may be substituted for a master’s degree education.
  • Five (5) years of experience in ticket sales operations, preferably in athletics and/or higher education, including the ticket allocation and distribution process, accounting procedures, employee management and computers.
  • Maintain high standard of ethics and integrity related to intercollegiate athletics.
  • Demonstrated knowledge of Division I intercollegiate athletics.
  • Demonstrated knowledge of NCAA and conference policies, rules, regulations and guidelines and ability to apply and enforce those rules.
  • Exhibit strong creative, organizational and interpersonal skills.
  • Demonstrated knowledge of correct English, grammar, spelling, punctuation and sentence structure.
  • Demonstrated ability in public speaking skills.
  • Demonstrated ability to function professionally under high stress and confrontational circumstances.
  • Demonstrated ability to manage multiple tasks for extended period.
  • Demonstrated ability to independently plan and organize work.
  • Proactive attitude towards work and assignments.
  • Demonstrated ability to maintain and develop personal contacts with outside groups, i.e. student-athletes, fans, media, donors, University community.
  • Demonstrated interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Demonstrated knowledge of record keeping and adherence to schedule.
  • Ability to stay abreast of information impacting the affected area.
  • Demonstrated ability to drive and travel via motor vehicle.
  • Demonstrated ability to organize and motivate groups and individuals.
  • Ability to maintain proper unit attendance and punctuality standards, work extended hours including nights and weekends (often with extensive walking and standing).
  • Demonstrated knowledge of effected areas of involvement.
  • Demonstrated ability to manage personnel.
  • Ability to make administrative/procedural decisions and judgments.
  • Possess Strong interpersonal and communication skills and the ability to work effectively with multiple people with diverse backgrounds.
  • Demonstrated skills in management of ticket office operations.
  • Demonstrated understanding of cash handling procedures and demonstrates ability to handle multiple cash transactions.
  • Demonstrated knowledge of marketing and ticket sales concepts.
  • Demonstrated knowledge of current tax laws.
  • Demonstrated ability to operate a operate a computer utilizing ticket systems including Paciolan and support group programs, various word processing and accounting software and other standard office equipment.
  • Demonstrated knowledge of accounting principles and theories; laws and regulations governing accounting procedures with the ability to interpret, apply and explain such procedures.
  • Ability to stay abreast of development, marketing, promotional and ticket sales trends impacting the affected area.
  • Valid driver's license.
