Job Summary

The Office of Information Technology ( OIT ) is seeking applicants for the Accounting Manager position. The position will supervise staff and manage the day-to-day accounting activities. The position performs accounting and financial duties to ensure adherence to generally accepted accounting principles, University policies and procedures, as well as, the State of Alabama bid law and procurement requirements. The duties include preparation and review of financial documents, recommendations related to internal controls, operating efficiencies and accounting integrity.

Essential Functions

Works closely with the Director of Administrative Services in OIT to develop and grow the members of the accounting and financial staff within the unit by training, assigning, scheduling, coaching, counseling and disciplining employees; communicating job expectations, planning, and reviewing actions. Ensures well cross-trained staff.

Maintains operational communication with various central departments concerning accounting and financial information. Maintains financial security by establishing and following internal controls.

Performs transactional reviews of all accounting and financial documents prepared by OIT staff/professionals to ensure accuracy, adherence and compliance to generally accepted accounting policies and procedures. Identifies and implements corrective actions to ensure conformity with Auburn University policies and federal/state laws, rules and regulations.

Prepares monthly financial statements based on reconciliation of revenues and expenditures for auxiliary, service center and unrestricted operations within the unit to include plant/project funds; develops annual service center rates, providing monthly statements on each center for review by unit management. Ensures departmental managers are kept abreast of budget balances and open encumbrances. Completes royalty tax reporting, processing payments as required.

Reviews and oversees expense vouchers, invoices, purchase requisitions, reimbursement collections/reconciliations, RFP or bid documents and other transactions for compliance with approved budget and policies and procedures.

Reviews IT capital projects, fixed asset management and depreciation; ensures OIT and any associated Facilities IT projects are adequately funded and all costs associated with each project are tracked and billed correctly. Works closely with project management/network/telecom staff to continuously track and report project costs against budget.

Works with staff and University Business Office to ensure assets are recorded, transferred or disposed as appropriate. Assigns equipment to appropriate service center or department, tracking depreciation and reviews annually to ensure accurate service center reporting. Oversees OIT fixed asset inventory audits and works with others to ensure property is moved to surplus when no longer operational.

Works closely with Director on coordination of the annual and long range budget development, monitoring accounts and providing recommendations for corrective adjustments as required.

Must have demonstrated organizational and time management skills, attention to detail, ability to prioritize and work well with competing needs. Proficiency in Microsoft Office Suite to include Word, Excel and PowerPoint required.
