Job Summary:
The primary purpose of this position is to provide front line customer service in the DeArmond College and University Center, which facilitates easy access to student support services by providing comprehensive academic and enrollment support services to students, faculty, staff and others. The Enrollment Services Associate (ESA) provides admission, enrollment advising and financial aid services to prospective and current students, their families and other constituents. The ESA also provides support to the structure and processes associated with the North Idaho Consortium of Higher Education (NIHE).

Job Duties:

This list includes, but is not limited to the following:

  • Provides a high level of customer service and expertise about all available academic and enrollment support services at North Idaho College.
  • Maintains general knowledge of programs and services offered by NIHE institutions and connects students to the appropriate contacts at each institution.
  • Understands and accurately conveys information on admission, financial aid, student accounts, registration and records, residency, dual credit, advising and other enrollment policies and processes.
  • Accepts and processes incoming documents.
  • Educates and guides students, parents, staff and faculty through enrollment processes.
  • Provides computer navigation training to students as needed.
  • Schedules appointments as necessary, including campus tours and events.
  • Maintains all NIHE records, budgets, official reports, marketing/branding logos and archives.
  • Maintains the NIHE website in cooperation with the Recruitment Task Force (RTF).
  • Attends and provides updates at NIHE Local Operations Council (LOC) RTF and Student Services Task Force (SSTF) meetings.
  • Facilitates communication and record keeping of NIHE related budgets; distributes and archives LOC meeting minutes and records.
  • Represents NIHE at official events as needed.
  • Maintains a positive, helpful, constructive attitude and work relationship with supervisor, co-workers, staff, faculty, students, partner institutions and the community.


Provides process support to the operational units in Enrollment Services:

  • Images and links documents in document imaging and workflow software.
  • Conducts document tracking and analysis.
  • Initially evaluates student aid applications to ensure all documents needed to satisfy Federal verification requirements have been received. Receives, tracks and evaluates documents collected for federal verification.
  • Assists with mailings and other office processes.


Handles incoming telephone calls, mail and emails for Cardinal Central, the one-stop for enrollment services which includes all enrollment services departments, responding or routing as appropriate:

  • Composes, prepares and ensures timely, effective responses to a variety of routine inquiries, including those regarding enrollment policies, procedures, and services.
  • Sorts, screens, reviews and distributes incoming and outgoing mail.


Minimum Qualifications
Education and Experience : Associate’s degree and at least two years of full-time equivalent experience working in a customer relations position required.

Knowledge, Skills, and Abilities:

  • Ability to succeed in a fast-paced, high-volume office environment
  • Ability to learn and use multiple software systems, including student information system, customer relations management system, document imaging, workflow, and Microsoft Office
