A.T. Still University (ATSU) is seeking an Admissions Counselor on the Kirksville, Missouri, campus. This position reports to the Director-Residential Admissions, Missouri. The main purpose of the admissions counselor is to promote the goals of Admissions with the on-going national recruitment of students for admission to ATSU Programs. The position has a strong focus on recruiting and counseling/advising prospective students and current applicants. It involves extensive event planning and national travel. Admissions counselors are the first point of contact for prospective students. Professional discretion and judgement is a key requirement. The admissions counselor maintains an extensive database of prospective students, counseling them on prerequisite courses and application processes. The individual will be required to work occasional weekends and evenings as travel/events dictate.

Major Job Duties

  1. Screening of applications/ files per stated goals. Audit transcripts to assess if prerequisites and minimum requirements have been met. Counsel prospective students on their application, evaluating personal statements and advising on competitiveness of their application.
  2. Establish annual recruitment goals with approval by supervisor, submitting travel/event reports on all activities in a timely manner.
  3. Remain compliant with admissions requirements and acceptance statistics for all programs within the ATSU schools. Become specialists in the all Residential ATSU programs.
  4. Maintain accurate advisor data and professional contact with pre-health advisors. Assist with coordination of mailings to provide pre-health advisors with promotional information and advertisements.
  5. Extensive virtual event planning and national travel for recruitment. Develop and coordinate comprehensive events and travel itineraries.
  6. Conduct Missouri campus tours to schools and outside groups, as needed.
  7. Meet with (both on and off campus) and advise prospective students and applicants on ATSU academic requirements, application requirements/process, and Financial Assistance processes.
  8. Provide feedback to applicants and reapplicants.
  9. Assist Student Affairs with special events to include, but not limited to: ATSU presidential events, Alumni reunions, Founder’s Day, Wellness Events, Orientations, Graduations, and Open Houses. Attend and assist with all Admissions sponsored events.
  10. Provide assistance and support to the interview day host, as assigned. Assist with hosting and conducting virtual and in-person interviews throughout the entire interview cycle.
  11. Provide assistance and support for DO & DMD for the Day Programs or open houses. As needed, assist with hosting and conducting tours and presentations during these events.
  12. Provide on-call assistance to prospective students by answering phone calls, responding to CRM and email inquiries, and helping walk-in traffic.
  13. Assist with coordination and/or support of the following: the Still Scholars Program and Memorandums of Understanding. Events and projects to include: interview days, scheduled visit/interview days, online Still Scholars course, regular communications, coordination with Alumni Department for recruitment of alumni for events, and assistance with the (D.O.) application process. Also, work with Student Ambassadors who assist with mentoring activities.
  14. Assist with the coordination and/or support of Student Ambassadors to include: coordinate monthly meetings, annual training, monthly upkeep of Ambassador points, communication with, and organization of, Student Ambassador Coordinators (online social networking, tours, OMM demos, Still Scholars, special events, etc), coordinate requests for special events, distribution of Colleague information, and contact Student Ambassadors to assist with recruitment efforts for virtual events or travel.
  15. Assist with coordination and/or support of Biomedical Science program, which includes: serving as a liaison to the Graduate Admissions Committee for the Biomed program; assisting with Biomedical Science interview days; conducting interviews of Biomed applicants; and assisting with selection processes for Biomedical Science students.
  16. Correspond and develop rapport with prospective students, advisors, agencies, and professional organizations.
  17. Assist with coordination of virtual, on-campus, or off-campus Accepted Student Visit Days or Events, Advisor Visits, Open Houses, and advisor recognition efforts.
  18. Annually update the recruitment PowerPoint Presentations.
  19. Present programs and coordinate logistics for student organizations, high schools, or health professionals virtually, on, or off-campus.
  20. Follow-up on prospective student inquiries to office and conduct.
  21. Upon completion of recruitment travel or events, submit summary sheets and expense forms.
  22. Maintain accurate files and travel/event reports, including travel/event report statistics form.
  23. Maintain events/travel calendar/invitations for campus visits.
  24. Attend regional and national conventions as assigned.
  25. Help organize and maintain the inventory of recruitment supplies (i.e., brochures, giveaways). Restock as needed.
  26. Assist with maintenance of recruitment displays, table clothes, table runners, etc.
  27. Assist Admissions Administrative Support with vehicle maintenance (oil, license, repairs, etc) by notifying when attention is needed and keeping the van cleaned and full of gas after each use.
  28. Follow-up to Masters of Science in Biomedical Sciences inquiries and applicants, prescreen program applications, assist with BMS interview days and orientation activities.
  29. Coordinate revisions of Admissions presentation, promotional materials, forms, letters, and standard forms.
  30. Monitor interview feedback, websites, and communicate trends.
  31. Assist with coordinating the assembly of interview day packets prior to the start of the interview cycle.
  32. Conduct research and oversee projects as assigned by the Vice President for Student Affairs, Assistant Vice President - Admissions, Directors - Residential Admissions (Missouri & Arizona), and Director - Admissions Processing.
  33. Assist the Directors and Assistant Directors - Residential Admissions (Missouri & Arizona), as requested.
  34. Provide additional administrative support as needed.
  35. As a salaried employee, work may be required beyond a 40 hour week. Some weekend and evening work is required.
  36. Create effective retention events for accepted students.
  37. Perform additional tasks as assigned.


Job Responsibilities

  1. Coordination of individual travel/event planning and published itineraries. Complete reports and record event details.
  2. Assist with daily email and telephone contact of accepted and prospective students, plus assist with letter writing campaigns.
  3. Assist with coordination and scheduling of Student Ambassadors for events.
  4. Assist with planning and implementation of activities such as new student orientation, White Coat Ceremony, graduation, interview days, open houses, and prospective student visits.
  5. Assist with special events, recruitment, or retention activities held on campus, off campus, or virtually.
  6. Assist with Student Affairs Department activities, as requested.
