Job Summary

The Institutional Research and Assessment Associate (IRAA) is an integral member of the Office of Strategy Implementation, with a focus on institutional research and assessment. Under the general direction of the Vice President for Strategy Implementation and reporting to the Chief Institutional Research Officer, the IRAA will manage and implement projects to support the Institute's planning and decision-making processes and to assess institutional, co-curricular, and program effectiveness.

Primary Responsibilities Include:
  • Manage and coordinate official institutional data reporting to external agencies and associations and internal constituencies.
  • Collect, maintain, and analyze data from multiple internal and external sources to produce knowledge and insights related to the Institute's mission and activities.
  • Design and conduct research projects using quantitative, qualitative, and mixed methods to support institutional planning, decision-making, and assessment activities.
  • Communicate and disseminate information and insights to a broad range of campus leaders using effective visualizations, presentations, and narratives.
  • Maintain and update external and internal-facing dynamic data dashboards using Tableau.

Activities also include administering web-based surveys, addressing ad hoc research requests from the campus community, executing data collection protocols, and serving as a liaison in data sharing activities.

The IRAA must be able to acquire and maintain a deep understanding of Institute and related higher education data and apply sound methodological practices and other publication standards to work with databases, tables, data extraction tools, visual presentations, and narratives. The IRAA will work collaboratively with various campus offices to ensure data integrity. The IRAA will work with complex data sets and merge current with historical records. The IRAA will use statistical software and data discovery tools to identify trends and patterns. The IRAA will design, develop, and test models using a variety of advanced statistical analysis techniques.

The IRAA will prepare and write reports summarizing research findings, including detailed descriptions of statistical methods, detailed analysis of results, and synthesis and presentation of conclusions from summary tables to support the work of the Institute's decision-making bodies. The IRAA will facilitate the development of metrics, which may include the merging of disparate internal and external data sets (e.g., student, faculty, facilities, and financial data). The IRAA will collaborate with various internal clients to understand their information needs and develop innovative, effective solutions. The IRAA will use data visualization tools to display and summarize data, trends, and patterns effectively. The IRAA will ensure the consistency of data and establish automated procedures for analysis and reporting. The IRAA will be responsible for maintaining detailed and accurate documentation of all projects.

The IRAA will manage campus survey collection procedures from the initial survey design, participant engagement, survey execution and data collection. The IRAA will maintain comprehensive mapping of Institute survey content to ensure consistent data collection points that allow for robust and meaningful analysis and reporting. The IRAA will serve as project manager for surveys, including administering survey software, conducting training, providing analyses or analytic support and overseeing survey-related web content. The IRAA may consult on research design and reports of other group members and Institute constituents. The IRAA will maintain Office of Institutional Research website and institutional data dashboards and find solutions for effectively conveying information both internally (to Caltech constituents) and externally, while maintaining the site with current information. The IRAA will take the lead and respond to ad hoc requests for information and analysis and perform other duties as assigned by the Vice President or Chief Institutional Research Officer.

Required Qualifications
  • Master's degree in social science, statistics, higher education administration or related field, and a minimum of 5 years of related experience in a complex institutional research environment or equivalent
  • Expertise in quantitative and qualitative research methods; ability to work effectively with quantitative and qualitative data
  • Expertise in the use of multiple statistical packages and text analytics tools; familiarity with on-line survey design required. Expertise in SPSS and Qualtrics
  • Knowledge of multiple data visualization tools including Tableau
  • Experience developing and interpreting metrics
  • Experience as lead author of research reports; excellent writing skills for both technical and non-technical audiences
  • Strong understanding of the complexities of data management, extraction, and analysis techniques
  • Intellectual curiosity and willingness to learn new tools and knowledge in research and evaluation
  • Familiarity with external data sources including IPEDS, CDS, National Student Clearinghouse, etc.
  • Demonstrated ability to understand the implications of data, including identifying trends, outliers and potential errors
  • Proven ability to identify critical issues and to lead an idea or project to completion
  • Proven track record in managing competing priorities and to work effectively under pressure when facing extremely short deadlines and multiple interruptions
  • Ability to convey concepts in a clear, concise and logical manner
  • Familiarity with diverse sources, policies and practices in the higher education sector
  • Excellent diplomacy skills and ability to converse easily, with courtesy and clarity, with all members of the Caltech community and beyond
  • Ability to handle sensitive and confidential situations and information with absolute discretion
  • Ability to work as a collaborative, conscientious and dependable colleague
  • Ability to travel to campus and/or non-campus locations for Institute business

Preferred Qualifications
  • PhD in social science, statistics, higher education administration or related field
  • Previous Caltech experience
