General Summary/Purpose

Under the direction of the Department of Pediatrics Human Resources, this position oversees the Department of Pediatrics academic credentials for Peds Interns, Rotators, and Observers. Manages the medical staff appointments for all credentialed faculty, fellows, medical staff, house-staff, and others, as needed. Interprets operating and university policies; exercises independent judgment in resolution of credentialing issues.

Specific Duties & Responsibilities

Credentialing(65%)

Oversees in conjunction with the Sr. Administrative Coordinator/HR Coordinator, all aspects of appointments and medical staff credentialing for faculty, fellows, medical staff, house-staff and others. Develop, implement and maintain appropriate departmental policies and procedures related to executing the credentialing processes in accordance with JHH and JHU School of Medicine policies, government regulations and JCAHO guidelines.

May be responsible for creating and implementing, a Share Point site with updated credentialing and medical staff information. Oversee the monthly Peds faculty reappointments and end-provisional process for Medical Staff. Assists the Physician Advisor, Manager and Divisions regarding active medical staff appointments for reappointments for Pediatrics. Coordinates all documentation and agenda for the committee as needed.

Create and maintain tracking processes for appointments.

Oversees and Maintains FPPE for Pediatrics.

Human Resources(35%):

Primarily responsible for coordinating the employment process to ensure an efficient and smooth process in accordance with all applicable university policies and procedures.

  • Work closely with the HR Generalist and Sr. HR Coordinator to process and see through onboarding for new hires, (Nexus, SAP, and Success Factors) for identified divisions.
  • Ensure that standard HR files are created and kept for all employees; current and new.
  • Will initiate FML and STD documents for Faculty, Staff and Post Docs.
  • Assist with processing ISR’s for the department of Pediatrics (salary changes, terminations, student hires, terminations, etc.)
  • Work with the Peds HR team to process payroll: including but not limited to weekly timesheets, auditing, distribution and routing of payroll checks.
  • Run monthly Analytical Reports
  • Responsible for ensuring SAP Master Data integrity for all positions and maintaining personnel records in accordance with department and University policy.

Minimum Qualifications(Required):

High School Diploma/GED.

Three (3) years related experience.

Additional education may substitute for required experience, to the extent permitted by theJHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *


Pre Preferred Qualifications:

Some college coursework preferred.


Special Knowledge, Skills, and Abilities:

  • Ability to be extremely well organized, with careful attention to detail and follow up
  • Strong oral and written communication skills.
  • Strong interpersonal skills with the ability to interact with all levels of faculty and staff.
  • Knowledge of computer programming, particularly in the development and implementation of databases.
  • Ability to manage a number of demanding projects simultaneously.
  • Word, Excel, Databases, and Power Point skills.
  • Copier, scanner, and printer.

Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
