Job Description:

Monitor, evaluate and announce Funding Opportunities from Federal and Private Sponsors:

  • Communicate research opportunities to UF communities.
  • Use email listservs and funding agency websites to keep track of current funding opportunities and prepare them for publication, using the InfoReady Review system, in the Funding Opportunities digest for dissemination among faculty.
  • Be familiar with federal agency web sites and research goals so as to be able to find funding opportunities expeditiously.


Facilitate team science process for proposal teams to prepare competitive, large-scale, multidisciplinary proposals:

  • Match faculty with appropriate funding opportunities.
  • Organize and facilitate collaboration meetings between faculty.
  • Identify faculty partners in other departments or at other colleges/universities.
  • Coordinate the development of the proposal by facilitating team meetings and communications.
  • Facilitate team-trips to DC when necessary for preparation of large collaborative proposals. Work with UF Federal Relations to plan thematically-based trips based on FL delegations’ requirements.


Facilitate Proposal development:

  • Become an integral member of important and difficult proposal development efforts.
  • Assist in the writing of non-technical parts of the proposal (plans for management, education, diversity, outreach, innovation, commercialization, economic development, evaluation, postdoctoral mentoring, data management, etc.).
  • Obtain and or generate institutional and other relevant information such as shared facilities and other resources; including relevant sponsor related information, statistics and rankings, and national benchmarks.
  • Write and/or edit research proposal documents – such as biosketches, current and pending support, resource documents, letters of support, data tables.
  • Proofreading, non-technical editing.


Long-Range Planning:

  • Participate and/or lead training for faculty on grant proposal writing, and other sponsor-related programmatic activities.
  • Support early collaborations and team research projects by providing logistics support.
  • Coordinate activities with other division staff and UF Research divisions to enhance the dissemination of funding and sponsor-related information to the research community.


Training and Outreach:

  • Communicate passionately, knowledgeably and articulately with faculty, staff and students by telephone and in person in the instruction in the use of the UF|Research/DRPD website, PIVOT database;
  • Participate in faculty and student outreach from DRPD to explain the use online tools to find funding opportunities; instructs faculty, staff, and students in the use and searching of on-line databases available in the Division of Research Development.
  • Design and collect customer (faculty/staff) satisfaction data using online survey tools. Evaluate survey results and suggest procedural changes to address specific comments and concerns.
  • Design and organize outreach materials (brochures) to be distributed at University faculty/staff events. These materials advertise services offered by UF|Research and other useful resources.
  • Coordinate visits from representatives of sponsoring funding agencies. These visits allow faculty/staff to acquire information on available funding opportunities, while allowing direct communication with individuals who can provide guidance for successful proposal development.


Maintain the Research Development Website and Databases:

  • Assist in the updating and maintenance of the Research Program Development website. Involved in the redesign and continuous updating of the Office of Research website in conjunction with other Office of Research divisions.


Funding Searches:

  • Conducts complex individualized funding opportunity "searches" at faculty request, using the available databases to provide detailed information on grant opportunities for research; determines interests of faculty and sponsors to make the best possible matches--this entails thorough familiarity with faculty expertise in wide range of disciplines and interests of the sponsors, including government, private and corporate; provides faculty member with funding guidelines and application materials for all identified funding sources.


Support the Assistant Vice President for Research in preparations for site visits:

  • Consulting on site visit planning and strategy; facilitation of planning workshop
  • Leadership of logistics, scheduling, and coordination, supervising support team members providing invitations, registration, hotel blocks, travel assistance, ground transportation, parking, meeting space and AV assistance, signage, food and beverage planning, renovation and clean-up of spaces to be toured, etc. Budgeting for site visit costs and payment of all invoices and reimbursements.
  • Coordinating of writing, design, graphics, photography, floor plans, space renderings, etc., for brochures and slides. Strategy, formatting, and editing for all slide presentations.
  • In conjunction with other OR divisions, assist in the preparation of all Site Visit Team binders and participant team handouts.
  • Troubleshooting any presenter or production issues during the site visit.
  • Coordination and editing of post-site visit responses to reviewer questions


Miscellaneous (other duties as assigned)

  • Must be knowledgeable of all areas of the DRPD in order to maintain continuity of the work-flow in the absence of other members of the office. Performs related responsibilities as assigned.
Expected Salary:

Commensurate with education and experience.

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Master’s degree and three to five years of relevant experience.
  • Excitement to contribute to research and research development.
  • Experience with RFAs/RFPs and an ability to read and interpret sponsor requirements in terms of proposal needs.
  • Ability to communicate articulately, both verbally and in writing, with faculty, staff, and various funding agencies.
  • Ability to evaluate, interpret and give advice to faculty, staff and students on the applicability of funding opportunities to their particular research project(s).
  • Knowledge of the preparation and assembly of large multi-disciplinary/investigator grants.
  • Incumbent is expected to provide support to faculty as required, particularly during the final phases of proposal preparation/preparation for site visit.
  • Familiarity with different organizations and sponsors in DC and the ability to identify and provide expertise to faculty to facilitate visits to program officers at federal sponsors.
  • Proficiency in the use of Microsoft Office suite of applications
  • Ability to manage multiple projects with great attention to detail.
  • Familiarity with fundamentals of budgeting as well as proficiency in writing and organizing data.
  • Familiarity with UF’s proposal and awards systems, and the PeopleSoft system. Understanding of university research administration structure, interrelationships and policies.
  • Ability to work independently.
