Full-time/Part-time Full-Time Position Type Staff Job Summary/Basic Function

The Student Services Facilitator for Bay College West Campus supports the functions/processes within the scope of Student Services at Bay College West. This position will be the first point of contact in student service and is responsible for welcoming and greeting visitors to the campus. This position will also be responsible answering switchboard calls, directing phone calls to appropriate parties, providing information to students and community members, providing direction to student employees, data entry, and content creation and development. This position will also assist with campus community and student events. This position may work evening shifts during the work week as needed. This position will be directed by the Bay College West Director of Student Services and will work closely with the Dean of West Campus.

Minimum Qualifications

• Associate degree required in related field.
• Two years of experience working in an office setting.
• Extensive knowledge of Microsoft software such as Word, Excel, and Outlook.
• Familiarity with office computer equipment.
• Exceptional customer service skills and the ability to maintain an excellent working relationship with internal and external customers.
• Experience with writing and developing marketing and outreach materials in all media, including social media.
• Ability to respond in a prompt and rational manner in stressful situations.

Serves as the initial customer service contact for Student Services, assisting with assessing student needs and provide direct assistance to students in helping them to apply to the College, process paper and web admissions applications, enroll in class, collect documents, process payment, apply for funding, schedule placement testing as necessary, and help them understand the appropriate forms, processes, and procedures for all three areas of enrollment services.

Provide individual assistance to students including but not limited to analyzing and troubleshooting individual needs and assisting with campus web functions (view/change their personal information, registering for classes, apply for financial aid, complete needed requirements).

Compose, research, and update materials to provide simplified access to information for our customers, staff, and the general public. Compile and prepare correspondence and documents for mailings.

Assist with writing and developing content, including assisting with BCW social media accounts.

Provide information to students, parents, staff, and the general public in person, via telephone, U.S. mail and on-line, using extensive knowledge of FERPA, College policy, State and other Federal regulations.

Utilize electronic calendaring system to schedule appointments.

Compile/maintain up-to-date college catalogs and other pertinent information for staff and students.

Work with the Escanaba campus to coordinate new student orientation/registration programs at the West Campus.

Manages the Career Closet at the West Campus.

Works collaboratively with community and campus partners related to events taking place on campus, including the use of EMS room scheduling software.

Support scheduling for non-academic event requests at West Campus, coordinating team resources required for a successful event including: facility set up, custodial services, and technology required

Create and verify customer invoices in coordination with Accounts Receivable

Record vending machine concerns and call for service.

Provide support for the Business Office by receiving payments, checking for accuracy, and entering into financial system. Prepare bank deposits, receipts, daily reports and reconciliations. Duplicate and send materials to Escanaba campus.

Responsible for inventory, ordering and distribution of supplies, incoming and outgoing mail; operating and maintaining standard office equipment; organizing and maintaining bulletin board information; preparing reports as needed for internal divisions and external auditing.
