Library Public Services Assistant
Woodbury University invites applications for a Library Public Services Assistant. The Library Public Services Assistant reports to the Access Services Librarian and is part of the Public Services department. This position manages the Audio-Visual service, manages the library’s materials billing, and shares responsibility for circulation functions in the library with other Public Services staff members. Work schedule includes Saturdays, and will vary as related to semester classes schedule and library open hours. (0.6 FTE)
This position also reports to the Dean of Faculty: Governance, serving as administrative assistant and providing administrative support services for the Dean of Faculty: Governance, Faculty Senate, and Faculty Association. (0.4 FTE)

- Responsible for opening and/or closing the library. Holds keys to the library facility.
- Perform full range of circulation desk duties (e.g. checking materials in and out, renewing materials, inspecting materials, processing holds, dealing with basic billing issues).
- Participates in the recruitment, training, and supervision of student workers.
- Answer patron questions related to policies and procedures (in-person or via telephone).
- Assist patrons in the use of library services, facilities, and equipment.
- Maintain confidentiality of patron records and use of library services.
- Manage billing for unreturned, lost, damaged and overdue materials.
- Administer library’s borrowing and renewal policies and resolve questions and conflicts.
- Manage notification system using WMS for billing issues via print and/or email.
- Work with patrons and librarian subject specialists to facilitate replacement of lost or damaged materials.
- Coordinate audio visual equipment reservations made by Woodbury faculty, staff or students and provide library staff with a daily schedule.
- Implement and maintain audio visual reservations and schedule using LibCal. Consult with Systems Librarian as needed.
- Train library staff in audio visual policies and procedures in order to facilitate requests and pickups.
- Work with IT department on troubleshooting and maintenance of equipment.
- Serves as confidential administrative assistant to the Dean of Faculty:
- Schedules appointments; composes letters, memos and press releases; takes and transcribes minutes at various committee meetings; follows-up on actions as assigned and prepares appropriate reports.
- Maintains WUFA records, files and calendars.
- Prepares Facility Reservation Event Authorization (FREA) forms; coordinates details for WUFA events, and meetings.
- Other duties as assigned
- One year of related library experience required; two to three years preferred.
- Associate of arts degree with a minimum of three years office and computer experience, or equivalent combination of education and experience.
- Administrative assistant practices including keyboarding and transcription and general office procedures.
- General procedures relating to the gathering and analysis of data and the preparation of reports.
- The correct use of English grammar.
- Work independently without supervision in a fast paced environment; ability to work effectively in a team environment.
- Deal with the public in a tactful, pleasant, courteous, and diplomatic manner.
- Record and maintain confidential information.
- Express ideas clearly and concisely in writing and orally.
- Take and transcribe clear and concise minutes of meetings.
- Utilize a variety of computer software programs and equipment to perform duties; demonstrate MS Office Suite proficiency; ability to learn new applications such as WMS.
- Gather and analyze data and prepare reports.
- Establish and maintain effective working relationships with other employees, the University Librarian, Dean of Faculty: Governance, members of the Woodbury community, vendors, and the general public.
- Close vision, hearing/listening, and clear speech.
- Manual hand/fingers dexterity.
- Combination of sedentary work, kneeling, stooping, bending, sitting, squatting, standing, etc.
- Works with/around and has verbal and face-to-face contact with others.
- Simple to complex reading, writing, clerical and math skills.
- Analysis, perception/comprehension and judgment/decision making ability.
