Brief Summary of Work for this Position
The Administrative Associate maintains a professional office operation for the Office of Student Leadership and Engagement, maintains accurate budget records and provides the Director with detailed budgetary information. The budget is approximately $425,000 for two funds.
The Administrative Associate supports all team members; this includes full time, graduate, and undergraduate student staff. This position hires, trains and supervises federal work study students who serve as office assistants and marketing specialists. General examples of professional work duties include: performs office reception duties in a high-traffic, student centered office; updates/maintains website and provides oversight of all social media accounts; assists Director in managing budget; processes financial management systems; orders and maintains departmental supplies; manages departmental databases; processes travel for both students and professional staff; assists with annual Cornerstone Student Awards program; manages catering requests and room reservations for events; processes leave keeping and student payroll; facilitates ongoing computer maintenance; and maintains an orderly, clean, and welcoming office space.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred education, professional skills and experience
• An Associate’s Degree in a related field
• Experience in a collegiate setting
• Prior supervisory experience
• Excellent organizational, written, and oral communication skills
• The ability to multi-task in a high traffic environment effectively and accurately
• Proficient in the use of Microsoft Office (Word, Excel, PowerPoint)
• Accounting and/or budget experience
• Strong knowledge and practice with Banner Financial System
• Ability to retain knowledge of complex procedures, policies and regulations
