Associate Director, Donor Relations and Stewardship Fund for Johns Hopkins Medicine

Summary of Responsibilities:

Developing and maintaining a community of engaged donors and leadership volunteers is vital to the university and the success of The Fund for Johns Hopkins Medicine. The stewardship function is vital in this resulting in increased donor retention and giving. The Donor Relations and Stewardship team works collaboratively with colleagues across Johns Hopkins Medicine and University to build stronger donor relations, acknowledgment, and recognition processes that ensure donors remain connected and committed to Johns Hopkins and allows development staff to focus on cultivation and fundraising. We operate as a central service to the Fund for Johns Hopkins Medicine (FJHM) in regard to acknowledging gifts in meaningful and unique ways (including those on behalf of Dean of the Medical School), producing impact reports, stewardship experiences and touches, and activities that give insight on the work and life of the institution ranging from tours, celebrations, events, and other needs as warranted.

The Associate Director of Donor Relations and Stewardship leads the development, implementation, and management of stewardship, recognition, and acknowledgment programs for the Fund for Johns Hopkins Medicine (FJHM) donors. He/she analyzes the effectiveness of FJHM’s stewardship programs, manages FJHM’s stewardship data, and recommends continuous improvement opportunities that enhance FJHM’s effectiveness in stewarding donors. All of these activities are vital in donor retention, increased giving, and positively impact donor referrals. He/she works collaboratively with gift officers, faculty members, and JHM leadership to accomplish these responsibilities. He/she manages and works with the Johns Hopkins facilities team for all donor recognition throughout the East Baltimore medical campus. He/She assists the FJHM Development Events Department with medicine-wide and Dean's priority events as well as departmental events, on an as needed basis. He/She manages all stewardship related events, particularly Live the Mission. He/she ensures stewardship touches and communication efforts are coordinated across JHM departments and institutions. Has supervisory responsibility for a staff of three or more.

Specific Responsibilities:

Acknowledgments

  • Creates and manages processes and opportunities to thank donors for their contributions in personalized and meaningful ways.
  • Annually manages the process of drafting leadership acknowledgment templates (50+) for the President of the University, the Dean/CEO of Johns Hopkins Medicine, and the President of The Johns Hopkins Hospital and Health System, ensuring each template is unique and individual.
  • Provides acknowledgment template creation assistance for FJHM departments.
  • Conducts acknowledgment surveys to determine and establish acknowledgment best practices.
  • Ensures FJHM is maintaining compliance with FJHM leadership acknowledgments.
  • Approves priority acknowledgment letters and condolence letters drafted by the Donor Relations Coordinator.
  • Manages the daily acknowledgment process and ensures that deadlines are met when the Donor Relations Coordinator or Administrative Coordinator are absent or when the volume of acknowledgments is large.
  • Understands the University’s donor database, known as ALADIN, and its various modules, especially Relationship Management.

Stewardship

  • Partners with the development, implementation, and management of a stewardship program for FJHM active stewardees and dormant and permanent stewardees.
  • Develops long-term stewardship strategies and plans to support specific fundraising campaigns for the SoM.
  • Develops knowledge of major donors and their interests in addition to understanding the overall donor population.
  • Serves as a strategic partner for major gift officers offering advice and guidance that ensure comprehensive, coordinated stewardship, recognition, and engagement of top donors.
  • Works in collaboration with the Director of Institutional Stewardship in the Office of Donor and Volunteer Engagement to develop, monitor, and evaluate institutional stewardship metrics to help ensure participation in the mandatory stewardship program, and to help identify best practices within Johns Hopkins.
  • Works closely with DOFFs to develop and produce high quality stewardship deliverables such as videos, written, and online pieces.
  • Attend team meetings with the Office of Donor and Volunteer Engagement on an as needed basis on behalf of the department.
  • Build excellent relationships with DAR colleagues across the university, by meeting with Development Offices at least once a year, and assisting them in setting stewardship priorities.
  • Oversees and assists colleagues with the FJHM professorship stewardship process, including assistance with the drafting of letters from chair holders and creation/signature of a cover letter from the Dean of the School of Medicine; works with DOFFs to ensure all donors are properly stewarded and communicates with the Office of Donor and Volunteer Engagement.
  • Coordinates with the Office of Donor and Volunteer Engagement and all Medicine departments to ensure information for Medicine professorships (donors and faculty members) on the Professorship Stewardship website is accurate and up-to-date.
  • Maintains a resource archive of information regarding Medicine from development officers and continues to foster relationships with the departments to obtain materials in a timely manner.
  • Partner with the Office of Donor and Volunteer Engagement on the completion of medicine Dormant/Permanent donors contacting development and clinical departments for information, drafting letters, updating relationship management actions, and other stewardship tasks as necessary.
  • Attend Donor Relation Liaison Group Meetings on behalf of the department.

Events

  • Plans and executes stewardship related events in partnership with the SoM Alumni Relations team and FJHM Development Events team; advises best stewardship practices.
  • Plan and execute at least 4 Live the Mission (LTM) Events during the Fiscal Year in partnership with other development offices at the Fund for Johns Hopkins Medicine.
  • Work with Departments and faculty to develop content and tracks and prepare them for their sessions with donors; engaging and training volunteers to assist with the complex day-of-schedule; designing a personalized experience for every attendee; day-of logistics; and collateral and communication with guests and faculty.
  • Develop metrics to track LTM attendee giving and engagement, create promotional materials and post-event engagement tools.
  • Promote and present LTM internally and externally and help build the LTM program across Johns Hopkins Medicine.
  • Drafts biographies, on an as needed basis, for donor and key participants in FJHM events from materials received from development officers, faculty members, ALADIN data, and internet searches.

Management

  • Supervises and evaluates the job performance of the FJHM stewardship team.
  • Supports professional growth by identifying opportunities for training and development
  • Plans and executes team meetings and team building
  • Manages and evaluates department stewardship temporary employee (when one is needed).
  • Networks with colleagues throughout Johns Hopkins and at peer institutions.

Marketing

  • Briefs team on events and milestones at Johns Hopkins and where our office may be of assistance for development offices.
  • Reaches out to colleagues and department when events and milestones occur and provide strategic recommendations for next steps.
  • Drafts and edits letters, biographies, and other writing projects as requested from development officers.

Buildings

  • Act as lead virtual or in-person tour guide for the department of the Sheikh Zayed Tower and The Charlotte R. Bloomberg Children’s Center for donors, prospects, and other individuals. Coordinator tours with other members of the department when not available.
  • Design and develop Tour Manual of new buildings for colleagues to use with donors, prospects, and other individuals. Offer tour trainings to new employees.
  • Supervise the Administrative Coordinator’s work with facilities to update current recognition walls on an annual basis and to correct recognition signage.
  • Train the Administrative Coordinator in the process of acquiring staff and donors approved language for new recognition walls and signage as well as fabrication and installation.

Miscellaneous

  • Advise the Fund for Johns Hopkins Medicine’s senior management team on donor relations and stewardship best practices.

Requirements:

  • Bachelor’s Degree required plus a minimum of 3 years of relevant work experience.
  • Experience in advancement services, fundraising, stewardship or volunteer engagement preferred.
  • Strong attention to detail.
  • Performs well under pressure and within time constraints with a high degree of accuracy and diplomacy.
  • Possesses excellent word-processing and database management skills; significant PC experience with a thorough working knowledge of Windows, Word, Excel, Access, PowerPoint, the internet, and the ability to learn new software. SAP knowledge preferred.
  • Ability to multi-task and prioritize in a well-organized manner.
  • Self-initiated/proactive problem solver.
  • Ability to work independently and as part of a team.
  • Ability to work with a diverse group of colleagues at all levels (Dean’s office, department leaders, gift officers and other colleagues)
  • Ability to sit for eight (8) hours straight and to stand for various time lengths.
