Job Description

Embry-Riddle Aeronautical University is now hiring an Office Assistant for Health Services at the Daytona Beach campus. The Office Assistant is the first point-of-contact for all patients. This position assists all individuals to obtain the correct resources within ERAU Health Services. This position greets all individuals both in-person and on the phone while maintaining exceptional professionalism at all times during diverse situations. This position will also assist the Front Office Coordinator, Director of Health Services, the Manager of Health Services, and all team members within the department with needs within the electronic medical records, scheduling appointments, and serve as a liaison with ERAU IT. This individual will be efficient and comfortable being a member of a team. The ability to multi-task while maintaining professionalism is essential in this position.

Responsibilities include the following:

  • Schedule all appointments and verify contact details, all health insurance information is accurate and up-to-date prior to appointments at every visit
  • Responsible for all students to be in compliance with submission of medical report forms, immunization history and miscellaneous medical documentation
  • Provides information on obtaining and declining the school health insurance plan. Submits referrals through United Health Care Student Resources (UHCSR) to offices, when applicable
  • Responsible for receiving phone calls and e-mails and directing them appropriately while greeting and assisting all individuals who entering the department
  • Assists students in obtaining their immunization records and compliance resources. Removes immunization certificate from to-do list for students who have met health requirements.
  • Scan all insurance estimate of benefits and process all virtual payments and insurance overpayments in a timely manner.
  • Cleans and maintains waiting area. Disinfecting and refilling pamphlets, when needed. Clean and maintain front desk
  • Assists with filling out patient history forms, consent forms, when necessary
  • Trains student assistants as needed with Health Services duties
  • Maintains flyers and additional resource availability in exam rooms.
  • Responsible to make sure any forms submitted by patients are placed into individual’s chart
  • Complying with HIPAA and FERPA, privacy, and confidentiality requirements
  • Other duties as assigned


Qualifications

Required Qualifications:

  • High school diploma (or GED) level ability in spelling, grammar, basic composition, and math.
  • Minimum of 3-5 years of work related experience.
  • Proficient with Microsoft Office programs such as Excel, Word, PowerPoint.
  • Knowledge of HIPAA and FERPA.
  • Experience working within electronic medical record systems.
  • Ability to multitask.
