The Assistant Registrar, reporting to the college Registrar will have primary functions of overseeing two professional New Student Registration Specialists, graduation processing, and managing the degree audit portion of our student information system. The Assistant Registrar will work closely with the college Registrar to complete tasks related to the academic calendar. The Assistant Registrar must demonstrate excellent customer service skills, the ability to collaborate across constituency groups, work in a fast paced environment, and embrace the use of technology.

ESSENTIAL FUNCTIONS:

The Assistant Registrar will oversee the following office functions:

Student Degree Audits:

The Assistant Registrar will oversee the student degree audit function of the office including self-design major/minors, honors program requirements and the oversight of substitutions and waivers for course requirements. The Assistant Registrar will work with the Registrar and various Department Chairs to maintain accurate recording keeping of degree requirements based on entry year.

Graduation Management:

The Assistant Registrar will oversee graduation management in the office including: graduation candidacy form processing, the graduation check-out process, honors designations, and maintenance of accurate graduation lists.

Registration Management:

The Assistant Registrar plays an important role in the registration process with emphasis on the oversight of new student registration. This position supervises two professional staff members who manage new student registration. In addition to incoming student cohorts, the Assistant Registrar maintains DFW prerequisite oversight, modern language placement processing, study abroad transcription, and represents the office at incoming student registration and orientation events.

Student Information System Management:

The Assistant Registrar will regularly engage in the oversight and maintenance of accurate data through the use of the student information system. This includes managing advisor assignments, change of majors and minors, and other academic attributes. Additionally, this position is assigned to campus committees focused on student success, retention, and other college priorities which use this data to make informed decisions.

Check-in Management

The Assistant Registrar collaborates with a variety of institutional offices to administer successful check-in process for students two times a year for the fall and spring semester.

Other Annual Duties:

Dean’s list processing, athletic eligibility, and other duties as assigned

EDUCATION AND EXPERIENCE/TRAINING

  • Bachelor's degree required, Master degree preferred. (Significant related experience may substitute for education).
  • Minimum of three years of higher education experience. Experience in the Office of the Registrar, or related service offices preferred.

KNOWLEDGE, SKILLS and ABILITIES

  • Ability to effectively work collaboratively with a wide variety of internal and external partners
  • Ability to independently set goals and determine best course of action to achieve desired results
  • Possess project management skills
  • Proficiency with Microsoft Office tools and basic computing functions
  • Ability to confidentially handle student records in accordance with FERPA
  • Ability to develop and maintain relationships with key contacts
  • Possess excellent written, verbal, and interpersonal communication skills
  • Possess strong organizational and time-management skills
  • Possess excellent customer service skills and proven ability to develop and sustain productive customer relationships
  • Ability to prioritize/handle multiple tasks and work with deadlines in a dynamic environment
  • Ability to promote collaboration, teamwork, and involve all stakeholders in decision-making processes
  • Ability to work in a fast-paced, high-volume, and confidential service environment
  • Possess sensitivity to appropriately respond to the needs of a diverse population
