Position Description:

PURPOSE:

Under the general supervision of the Director of Student Engagement & Leadership Development (SE&LD) and the daily work oversight of the Associated Students (AS) Senior Coordinator Governance and Operations (G&O); the AS Coordinator for Programs and Communications (P&C) is responsible for advising, developing, overseeing, and supporting the programmatic and marketing operations of Associated Students. The AS Coordinator for P&C develops and presents a wide range of complex analytical documents, reports and assessments for the AS, and makes recommendations based on data analysis, including Co-curricular Learning Outcomes. Makes independent decisions on day-to-day operations, and interprets and applies specialized policies and procedures. Work is performed independently under general direction related to goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
  • Serves as the primary advisor to the AS Programming Board, AS Diversity & Inclusion Committee, AS Sustainability Committee, AS Blue Crue, the AS Basic Needs Committee and Otter Media. Serves as the professional staff liaison between AS and University Performances and Special Events, University Police, and Risk Management. Serves as the professional staff liaison between AS and the Otter Cross Cultural Center, Otter Student Union Programming Board, and the Catalyst (civic engagement, community service and philanthropy). Represents AS at weekly campus-wide service provider/event planning meetings. Collaborates with various campus departments on individual and thematic programming initiatives. Contributes to risk management, programmatic oversight and emergency response.
  • Provides advice and guidance to the following AS elected positions: Chief Programming Officer, Diversity and Inclusion Senator, Sustainability Senator, Basic Needs Senator, and provides direct programming guidance to the College Senators. Coordinates the programming efforts of the “Blue Crue” campus spirit group, the reservations and appearances of Monte Rey, the campus mascot.
  • Oversees the development, accuracy and effectiveness of all AS publications, web sites, social media, advertisements, promotional items and communication initiatives. In coordination with the AS Senior Coordinator G&O, the AS President, and the AS Office and Services Coordinator, plans leadership development and team building activities and retreats for the AS and contributes training in event planning, contracting, event execution, risk management, advertising and budgeting. In coordination with the AS Senior Coordinator for G&O, designs, plans, and coordinates all orientation, training, retreats, and welcome materials for AS leadership positions. Facilitates student-centered self-governance, ethical behavior and financial stewardship.
  • Applies CSU, CSUMB, Student Life, SE&LD, and AS operating policies and procedures in helping to develop, organize, prioritize, and monitor programmatic operations for the AS; provides daily work supervision to assigned student staff, evaluates their performance, establishes work agendas in accordance with deadlines and monitors work to completion, making appropriate recommendations as needed; resolves both commonplace and unusual work situations. Briefs the Director of SE&LD, the AS Senior Coordinator for Governance & Operations regarding progress of routine work and special projects. Provides analyses, training, guidance, and oversight of the fiscal and budgetary practices of the AS committees, Otter Media Radio Station, and boards as assigned. In collaboration with the Director of SE&LD, the AS Senior Coordinator for G&O and the AS Office and Services Coordinator, analyzes budgets for the assigned committees. Leads these student committees in the development and management of operating budgets. Evaluates and reviews all expenditures of those committees to ensure that the AS is following sound fiscal practices and is in compliance with applicable CSU and AS policies.
  • Conducts regular assessments of AS programming, the co-curricular learning outcomes adopted by the University, and the development of various competencies that support the career readiness of assigned student staff. Employ data obtained through these assessments to make programmatic personnel, and operational adjustments and enhancements that support greater AS effectiveness and efficiency of the programs and communications provided to the CSUMB student body. Attends seminars and conferences to maintain program and professional development.

Knowledge, Skills and Abilities:
Working knowledge of the principles of individual and group behavior; procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.

Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multisexed and multi‑aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.


Minimum Qualifications:
Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job related field may be substituted for one year of the professional experience.

Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑ related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.


Specialized Skills:


Preferred Qualifications:
Master’s degree in a job-related field preferred plus two years of experience related to the field of student activities, associated student government, event management and coordination, administrative management, university auxiliaries/incorporated boards, etc.; with software such as Microsoft Suite, Oracle/PeopleSoft. Knowledge of California State University policies, Title 5, Chancellor’s Office executive orders, Gloria Romero Open Meetings Act, Parliamentary Procedure. Technical fluency with Banner, Microsoft Office Professional Suite, Oracle-PeopleSoft CSU Common Management System or equivalent student information system, Hyperion, or similar report generation software; and Google mail and calendaring.

  • Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the University’s liability coverage.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
