Work is ordinarily performed in an office environment but may be performed remotely depending on health and safety requirements under the COVID-19 pandemic.

University of Washington Bothell currently has an outstanding opportunity for a Full Time Temporary Program Coordinator.

UW Bothell has an exciting opportunity for a Program Coordinator in the Office of Institutional Planning & Budget to join for a one-year fixed duration appointment.

Responsibilities:

PROJECT COORDINATION & PROCESS IMPROVEMENT:

• Manage IPB calendar and cadence of deliverables to campus units; establish internal due dates and hold team members accountable; provide status updates on projects.
• Develop and maintain regular communication with campus units concerning ongoing budget and other financial processes.
• Assist with the drafting and refinement of institutional budget policies, procedures and related systems of internal control.
• Ensure communication of ongoing budget allocation activities to impacted units and ensuring appropriate documentation practices.
• Participate in preparing the campus for the strategic implementation of UW Finance Transformation.
• Participate in departmental and institutional process improvement projects to streamline or enhance functions.
• Coordinate quarterly deficit responses to UW Bothell leadership.
• Coordinate annual Provost Fiscal Vitality & Narrative submission to UW Seattle.
• Coordinate the annual campus budget cycle.

ADMINISTRATION AND RECORDS MANAGEMENT:

• Assist with ensuring fiscal reports and budget processes are understandable to the campus community by supporting documentation and methodology practices.
• Maintain and update IPB SharePoint wiki page & external website with relevant reports and budget information for units.
• Develop and maintain records management system for IPB, ensuring compliance with all relevant guidelines. Work to improve and refine existing record keeping systems.
• Manage IPB central inbox and triage requests or projects to appropriate team members.
• Coordinate record keeping and reporting systems in support of budget tracking and reconciliation, including budget authorizations, revisions and updates.
• Communicate budget policies and procedures in compliance with applicable Washington State and University of Washington policies and procedures; respond to department inquiries as appropriate.

BUDGET MONITORING & SUPPORT:

• Assist with tracking and documenting institutional commitments and various initiative balances.
• Aid with the reconciliation of budget balances against UW Bothell campus budget allocations.
• Process budget revisions in the BGT system; provide documentation to departments for approved budget revision requests.
• Maintain compliance with Washington State and University of Washington policies and procedures.
• Provide backup support for various budget and financial transactions within IPB.

OTHER DUTIES:

• May represent Institutional Planning & Budget on committees (e.g. Student Activities Fees Committee) and participate in various campus budget-related meetings as needed.
• Provide back-up support to other unit staff members, when required.
• Provide training on budget and other related topics to customers.
• Perform other related duties as required.

MINIMUM REQUIREMENTS:

• High school graduation or equivalent and two years of experience working in administrative field and/or budget/finance.
• Intermediate experience and use of MS Excel.
• Ability to work independently, handle and prioritize varied responsibilities, and meet tight deadlines.
• Ability to cooperatively and effectively work with all levels of the organization.
• Ability to contribute to a supportive team environment.
• Ability to work with a diverse constituency.
• Demonstrated commitment to customer service, and maintains effective interpersonal relationships with supervisor, co-workers and customers.
• Strong written and verbal communication skills to provide information in a clear, well organized and concise manner.
• Ability to publicly speak, hold meetings, and provide trainings to all types of audiences.
• Willingness and ability to continually learn new procedures and computer applications.

DESIRED:

• Two or more years of progressively responsible work experience in budgeting/finance.
• Experience in communicating budget and fiscal data to varied audiences.
• Experience in higher education budget/finance and financial systems.

CONDITIONS OF EMPLOYMENT:

• 40-hours a week; Monday through Friday during regular business hours; occasional overtime.
• Open workspace environment.
• Primarily a desk sitting job and will require a significant amount of computer use during the workday including typing.
• Office location is not on or near core campus buildings; this role is required to walk to other buildings on campus as needed to support the work of the Office of Institutional Planning & Budget and job responsibilities.
