GENERAL DESCRIPTION :
Under the direction of the Director of Public Safety, the Administrative Coordinator will perform a wide variety of highly responsible para-professional administrative and office support duties and perform related work as required. May serve as the department trainer on various office and project management software, such as word processors, spreadsheets, etc. The Administrative Coordinator will be responsible for direct supervision overseeing assigned lower level clerical support personnel.
DUTIES AND RESPONSIBILITIES :
• Serve as primary executive support for the Director of Public Safety/Chief of Police by performing a wide variety of complex, responsible and confidential office, technical, clerical and para-professional administrative duties.
• Responds to complex inquiries for information from the public, campus community, and Central State University staff.
• Exhibit detailed familiarity with all functions of the Department of Public Safety.
• Research, compile, prepare and analyze projects and data for reports and other materials.
• Initiate, maintain and monitor executive office records, files and logs.
• Coordinate/make travel, meeting, conference arrangements.
• Maintain appointment schedules and calendars.
• Interpret and explain complex University and Departmental policies, rules and regulations in response to request, or refer inquiries as appropriate.
• Maintain and/or oversee office employee records, including time cards, payroll, evaluations, disciplinary actions, etc.
• Independently develop responses to letters and correspondence on behalf of the Director of Public Safety.
• Coordinate office activities and schedules.
• Perform or oversee executive office duties such as filing, distributing mail, and typing and/or creating a wide range of letters and other materials.
• Assist in the preparation of policies, procedures, operation manuals, written material and documents which may include proposals, statistical and/or special forms, budgets and charts.
• Order/purchase office supplies, equipment or services.
• Plan, assign, train, review and assist in evaluating the work of clerical or other support personnel.
• Prepare budget reports, collect/calculate data on projected expenditures and monitor the expenses of the department.
• Receive and post legal notices, prepare agenda, assemble background material etc.
• Build and maintain positive working relationships with co-workers, other University employees, students and the public using principles of good customer service
• All other duties assigned

KNOWLEDGE, SKILLS, AND ABILITIES :
• Knowledge of office practices and procedures.
• Ability to gather, collate, and classify information.
• Skilled in answering telephones and working with the general public.
• Skilled with office equipment.
• Familiarity with computers in office management operations
• Experience using Microsoft Word and Excel, and other spreadsheet and word processing programs.
• Ability to use common sense for practical, everyday problems.
• Ability to work well with peers, managers, directors, and campus personnel.

Minimum Qualifications

SPECIFIC QUALIFICATIONS :
• Experience:
 Five years’ experience in office operations.
 Three to Five years of Office Coordinator experience.

Preferred Qualifications

PREFERRED QUALIFICATIONS :
• Education:
 Associate’s Degree or higher
 Three to Five years’ experience as Office Coordinator with a police department
