About the Position:
The Office of Registration and Records is committed to serving students and the campus community by providing quality service that facilitates enrollment, retention, and degree completion, while maintaining accurate academic records for the University. We are also responsible for processing transfer credit, maintaining articulation agreements, with other institutions. Additionally, we register new and continuing students for classes, maintain academic records, prepare transcripts and diplomas, and reviews petitions for exception to University Policy. We are seeking an exceptional individual to join our team as the Associate Registrar. The ideal candidate in this role should have a positive attitude, an active, energetic mind, and a leadership style that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness..

Within the Office of Registration and Records (R&R) and under the general direction of the University Registrar, the Associate Registrar has managerial responsibility for Registration, the Titan Degree Audit Unit, and the Admissions and Records Service Center (ARSC). The Associate Registrar serves as a member of senior management and acts as the Registrar's representative in his/her absence. Responsible for knowledge and understanding of various responsibilities and activities of the units reporting to the Registrar's Office (Titan Degree Audit, Articulation, Graduation, Records, Petitions, ARSC, Registration) and their interrelationship of duties, policies, and other components. Demonstrates leadership in supporting improved R&R customer service for the campus community. Supervises the Registration Manager, the TDA/Articulation Manager, and the R&R Business Analyst.

Oversees the updates and edits for the Registration Guide produced for fall, spring, and summer terms. Responsible for oversight of functions and updating of the office phone tree, the web-based inquiry system “Ask Tuffy”, and the R&R Helpline. Manages testing activities for CMS Student Records functions required by system maintenance packs (MP) updates. Assigns testing, monitors the completion of testing responsibilities, and reports any technical issues. Problem solves issues escalated from areas of responsibility. Maintains content for R&R webpages and is responsible for timely adjustments of dates and content as required.

Collaborates with other managers in R&R to ensure that the ARSC provides adequate and appropriate level of support to various internal units. Coordinates with other campus offices for activities related to registration including New Student Orientation, Transfer Student Orientation, Early State Program, International Students Office, Disabled Student Services, Student Financial Services, Financial Aid, University Extended Education, Academic Advising Center, and academic departments. Maintains documentation of processes which impact areas under direction. Researches and implements changes to processes. Independently exercises considerable latitude in determining and achieving unit objectives on a day-to-day basis to meet established goals. Consults with higher level management and develops and implements recommendations, guidelines, and operational procedures. Interprets, applies, and recommends modifications to departmental and campus policies as necessary. Other Duties assigned.


Essential Qualifications:
Bachelor’s degree from an accredited four-year college or university. A minimum of three years of management experience in a customer service environment. Experience with complex, interdependent, online student information system. Experience with imaging systems and online web services. Demonstrated ability to use independent judgement in the application of complex policies. Possession of excellent oral and written communication skills.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.


Preferred Qualifications:
Master’s degree from an accredited college or university. A minimum of three years of management experience in a Records and/or Admissions environment. Experience using Common Management System (CMS), PeopleSoft, U.Achieve, OnBase). Demonstrated ability to implement and troubleshoot technological systems. Familiarity with complexities of a large, urban, and culturally diverse campus.
