Job Description:

Reporting directly to the Provost, the Registrar manages a staff of five full-time employees and is responsible for oversight and support of all registrar office services, including the development, implementation, and management of student records and registration, academic schedules, transcripts, diplomas, and the academic catalog, as well as classroom usages and utilization. The University Registrar serves as Secretary to the University Faculty and adviser on academic policy for faculty, staff, and students. The University Registrar works closely with multiple units across the campus, including Student Affairs, Admissions and Financial Aid, Information Technology, the Law School, Human Resources, Business Office, and Development. The University Registrar defines business processes for records, registration, and scheduling, and plays a crucial role in technical and policy implementations. As Washington and Lee invests in a major transition of its student information system and reporting to Workday, the University Registrar will help define, implement, and support new processes to reimagine how the function can best support students and faculty through the advising, registration, degree audit and transcript phases of the academic cycle.

Essential Functions:

  • Ensures the integrity, security, and maintenance of academic and student records including the processing of grades, maintenance of student and course records, certification of student enrollment status, and completion of degrees.

  • Manages activities, systems, and staff for undergraduate student registration including course inventory, course schedules, classroom scheduling, and student enrollment.

  • Analyzes enrollment trends and course demand data, regularly providing this essential information and data to the deans and the Provost.

  • Responsible for the overall leadership of all financial, personnel, policy and technology operations for the University Registrar’s office, including coordination of the commencement budget and the process for degree audits and the production of academic transcripts and diplomas.

  • Serves in an advisory capacity to faculty and administration in academic policy discussions, as a member of the Provost's Academic Council.

  • Serves as Secretary of the Faculty, responsible for faculty meeting agendas, minutes, and elections, and preparing minutes for the Undergraduate Academics and Admissions Committee of the Board of Trustees.

  • Assures the inclusion of all approved administrative changes, revisions, and updates into the University Catalog, class schedules, and other university databases as necessary, and compiles, regularly edits, and publishes the University Catalog and consults on the Law Catalog.

  • Represents the Office of the University Registrar by serving on standing and ad hoc committees including, but not limited to: Courses and Degrees, Automatic Rule and Reinstatement, International Education, Registration and Class Schedules, Commencement Planning, Information Security and Privacy Risk.

  • Ensures that the University complies with all federal and state requirements for records and reporting, as well as requirements related to SACSCOC accreditation, including exchange programs and other inter-institutional academic relationships, and providing data and documentation to state, federal, and legislative auditors.

  • Serves as a Bureau of Immigration and Customs Enforcement designated school officer (SEVP DSO). Acts as the NCAA academic eligibility contact.

  • Coordinates with the Director of Law Records on university-wide services as related to calendars, policy, data entry, supporting software, and external reporting in the Law School, and oversees provision of certifications, verifications, diplomas, and other law-student academic services.

  • Actively participates in developing, maintaining, and evaluating various communication efforts, including the academic catalogs, websites for both University Registrar and Commencement operations, and social media for the University Registrar’s office.

  • Represents Washington and Lee University as a member of various professional associations and contributes to professional advancement in the field.

  • Additional related duties as assigned.



Minimum Qualifications:

Master's degree and at least 5 years of experience in a higher education registrar's office, or a combination of education and relevant experience providing a similar background and capabilities. Must have demonstrated experience in providing leadership in the management, security, and storage of academic records. Ability to balance multiple tasks and responsibilities in parallel, maintaining attention to detail. Strong interpersonal and communication skills and ability to work professionally, develop numerous professional relationships, and engender trust and reliability with a strong service orientation for a wide variety of constituencies. Ability to work effectively with complex administrative software systems, analyze and interpret data, and prepare usable information and reports for various university constituencies. Experience managing policy development and implementation, as well as information system implementations and migrations.

Types of Work:

Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Work Schedule: Monday - Friday, 8:30 am - 4:30pm, with occasional early morning, evening, or weekend work required. Also, occasional travel.
