Reporting to the Facilities Management Office Manager, this position is responsible for Central Stores customer service, sales, and record keeping; purchasing and inventory control of supplies (cleaning, automotive, building, custodial, electrical, plumbing, and printing paper), warehouse responsibilities, and equipment operation.

Duties include the use of an inventory control software program to record received and sold products, generate reports, determine prices, stock levels, inventory and adjustments, requisition supplies, billing, vendor contact; audit invoices, shipping documents; provide basic record keeping; perform general warehouse duties; supervise temporary and student workers; assist in warehouse planning, and selling of campus surplus property. A basic working knowledge of Microsoft Word and Excel is used to generate correspondence and reports; email to send and receive messages. Working knowledge of WISBuy, TMA, and VendorNet is desired. Applicant must be customer service oriented, able to work independently and as a member of the Facilities team.

Must have a valid WI driver’s license and become authorized to drive a University vehicle upon appointment; must be able to obtain the forklift operator certification within six months of appointment. This position will require a criminal background investigation and pre-work screen to ensure the ability to perform the essential functions of the position.

Normal hours of work are 7:00 a.m. to 3:30 p.m., Monday – Friday.

Responsibilities

75% A. Manage computerized inventory control

  1. Manage inventory control software:
  2. Recommend, research, purchase, and set selling price of all products for Central Stores inventory using requisitions, purchase order, or other means.
  • Research products to find lowest cost.
  • Contact vendors, negotiate, and guarantee pricing.
  • Determine best shipping options.
  • Receive, troubleshoot, investigate and resolve customer complaints relating to stock inventory, backorders, invoicing, filled orders, etc.
    • Receive supplies and equipment delivered to Central Stores.
  • Fill orders placed by departments; receive orders via internet (TMA), or in person; assist customers with sales; answer questions; issue items from inventory; accurately record transactions. Process returns.
  • Coordinate warehouse operations/activities (e.g. status of pick-up requests, deliveries, pick-up dates/times, resolve delivery errors); coordinate daily activities with other departments.
  • Retrieve data, prepare and produce sales reports as needed using the inventory control software program; generate additional reports using MS Word and Excel.
  • Use VendorNet website to make sure Central Stores is purchasing under the proper contract.
  • Direct and train temporary and/or student workers to stock and pick orders, develop work schedules; delegate and review work for accuracy to reduce errors and maintain customer satisfaction.
  • Inspect incoming deliveries, investigate discrepancies between items delivered and invoices; audit invoices for accuracy and match with receiving documents; resolve problems; return incorrect or damaged items; enter receivables into internal tracking system; operate bar code scanning equipment to track shipments.
  • Communicate with vendors regarding billing, service, and quality issues, request credit or replacement for missing or damaged merchandise.
  • Determine and recommend changes in warehousing required by changes in demand and usage of products; arrange for and determine proper storage of incoming items by planning for efficient use of available space; regulate, organize and plan space utilization; physically move merchandise within the warehouse; organize surplus sales items; evaluate merchandise for sales; palletize and secure large or heavy items; maintain clean and orderly aisles and work area; ensure security of warehouse inventory.
  • Direct/perform the annual physical inventory count; train and oversee employees involved in process.


  • 15% B. Manage sales of campus surplus property

    1. Create descriptions and minimum sale price (if needed), upload photos.
    2. Communicate with surplus sale company as needed.
    3. Communicate with community members for pick-up of purchased items.
    4. Communicate with community on questions regarding surplus items.


    5% C. Assist with loading dock operations.

    1. Receive and sign for various packages at Campus Central Receiving from various vendors.


    5% D. Miscellaneous Duties

    1. Perform other duties as assigned.
    Qualifications Required:

    Must have or be able to obtain forklift operator certification within six months of appointment.

    Ability to perform physical labor including heavy lifting, bending, stooping, twisting and other motions with or without reasonable accommodation. Ability to manually lift 52 lbs (box of paper; bag of salt) repeatedly, and to transport 150 lbs via handcart with or without reasonable accommodation.

    Physical ability to stand and/or walk for long periods of time.

    Work experience operating material handling equipment (e.g. forklift, power pallet-jack, hand truck, delivery vans).

    2 years customer service experience.

    1 year inventory control experience.

    Experience with Microsoft Office.

    Demonstrated commitment to diversity, equity, and inclusion.

    Preferred:

    Work experience in purchasing, receiving, and warehouse and material handling processes.

    Work experience with shipping practices and methods to include common carriers, rates, classifications, hazardous material restrictions and other Federal transportation regulations.

    Supply chain management, or related education.

    Experience working in a higher education setting.
