Summary

The Senior Research Administration Associate provides pre and post award grant administration support and guidance to the department of Molecular Physiology & Biophysics. Serves as the department's primary source of expertise for federal, state, industry, and private foundation applications. From opportunity to funding, the majority of this position's duties are focused on pre-award grant administration. This is not a remote work position.

Job Duties
  • Provide grant expertise, financial expertise, and guidance related to sponsored research to faculty and trainees. Ensure compliance with all federal, state and internal policies and procedures.
  • Manage all pre-award processes and contribute to its continuous improvement:
  • Work directly with faculty and trainees regarding funding opportunities, eligibility, application requirements, and budget preparation. The opportunities can range from simple fellowship grants to complex grants and contracts.
  • Prepare and approve grants, subcontracts, progress reports, noncompeting continuations, no-cost extensions and carryover requests internally (BRAIN) and externally (Sponsor sites).
  • Make sure COI disclosures and required trainings are submitted on time and updated as needed.
  • Prepare JIT documentation and maintain faculty documents including Other Support.
  • Facilitate preparation and/or review of industry-sponsored contracts including sponsored research agreements, salary reimbursement agreements, material transfer agreements, etc.
  • Serve as a liaison between faculty, sub-recipients, BCM departments, SPO, and/or federal/private funding agencies.
  • Coordinate with the training grant director(s) to manage departmental T32 training grant:
  • Process appointment and termination paperwork, create and maintain appointee database, assist in submission of T32 progress reports/renewal, ensure appointees have proper titles and accurate benefit allocations.
  • In collaboration with the Research Administration Financial Specialist, maintain post-award financial reports:
  • Serve as approver of financial reports and transactions related to accounts payable, travel, CCM expenditures, and purchasing by verifying funds availability and ensuring expenses meet institutional and sponsor guidelines.
  • Ensure research faculty and staff salaries and expenses are appropriately sourced in SAP.
  • Provide detailed monthly financial balance sheets and reconciliations to PIs. Collect, analyze and prepare financial data including operational budget per charge source, forecasting salary and overall budget projections.
  • Participate in the annual budget process and other special projects as needed.


Minimum Qualifications
  • Bachelor's degree.
  • Four years of relevant experience.


Preferred Qualifications
  • CRA Certification
  • Working knowledge of SAP and BRAIN
  • Experience in basic science pre/post award research grants: NIH, DOD, CPRIT, AHA
  • High attention to detail; proficient in MS Outlook, Word, and Excel; excellent written/oral communication skills
