Position Details
Wesleyan’s sociology major is designed to help students develop new frameworks for analyzing a broad array of social relations—from everyday life interactions to large-scale historical and structural transformations—and to cultivate a critical appreciation for the academic discipline itself.
Reporting to the Chair of Sociology, the administrative assistant provides administrative support to the chair and the department.
Responsibilities include:
Maintain databases, mailing lists, and calendars; generate reports, organize meetings, manage official correspondence and procedures; and provide reception for the department.
Maintain confidential files for faculty, departments, and programs.
Provide support for faculty searches, tenure and promotion cases, colloquia and special projects as needed.
Assist with the preparation of reports and proposals.
Create flyers, brochures, and newsletters.
Manage/reconcile accounts; process student timesheets, A/P vouchers, travel reimbursements and other financial transactions.
Assist in compiling course offerings using CourseLeaf; liaison with departmental staff to manage cross-listings; edit material for course catalog and university publications.
Coordinate the logistics for all program events (e.g., speakers and lecture series, welcome events, etc.) including scheduling, publicity, room reservations, travel, and catering arrangements.
Assign advisors to student majors and update and maintain confidential student records.
Update and maintain the website, directories, and other lists. Disseminate information to relevant parties.
Oversee student workers.
Schedule conference rooms and classroom space using the University’s Event Management System ( EMS ) as needed.
Serve as the steward of departmental spaces, order supplies, make service requests, manage key inventory, and distribution.
Perform other duties as assigned.
This is a .86 FTE position is in the Office/Clerical Bargaining
Unit.
The work schedule for this position is 35 hours per week during the
academic year with reduced schedules during summer and other
academic year breaks.
Minimum Qualifications
Associate Degree and four years of related experience or an equivalent combination of education, training, and experience.
Ability to set priorities, to take initiative, to manage multiple duties with minimal supervision, and to pay close attention to detail.
Demonstrated expertise in Word, Excel, and email applications.
Experience with webpage and database management applications.
Ability to work effectively with students, faculty, staff, and visitors.
Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.
Strong organizational skills.
Effective communication skills.
Preferred Qualifications
Experience in an academic environment.
