General Summary/Purpose

The Administrative Coordinator provides administrative, development, and research support to the Director for the Institute for Education Policy.

Specific Duties & Responsibilities

  • Manages the Director’s schedule, presentations, and correspondence on a daily basis: 60%
  • Maintains internal and external records of Director’s work including: updating CV/ faculty activity reporting entries, updating Zotero (the bibliography database), and monitoring mentions in the media through Google Alerts
  • Manages Director’s calendar by planning and scheduling meetings, events, phone conferences, restaurant reservations, and all corresponding travel arrangements
  • Manages Director’s invoices, honoraria, and expense reimbursement for speaking engagements
  • Coordinates Director’s activities with the Institute’s communications manager, administrative coordinator, and budget specialist
  • Composes and prepares emails on the Director’s behalf, such as: response to invitations, meeting scheduling, requests for information and other general inquiries
  • Designs power point presentations and formats reports for the Director
  • Conducts light research and manages research projects: 20%
  • Manages the Global Educational Pluralism network on behalf of the Director, including onboarding new scholars, maintaining contact between scholars, and planning virtual discussions across this international group
  • Conducts light research for Director
  • Identifies research partners as needed
  • Supports the Institute’s growth and development activities: 20%
  • Becomes adept at using the Foundation Center website to identify potential benefactors and syncs up efforts with the School of Education’s development team
  • Supports the Director’s grant-writing efforts; drafts scopes of work on Director’s behalf
  • Coordinates new positions, hiring process, and review process with Human Resources on behalf of the Director
  • Level of Independent Decision-Making:

    Must be able to work with a high degree of autonomy to carry out administrative tasks, interact with influential policymakers and benefactors, and exercise good judgment on behalf of the Institute. The Institute’s leadership team does not expect to review and proof work for this position. Work must be of a caliber representative of the Director.

    Minimum Qualifications(Required)

    High School Diploma/GED.

    • Three (3) years related experience.

    Additional education may substitute for required experience, to the extent permitted by the* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

    Preferred Qualifications

    • BA/BS degree, preferably in a liberal arts subject
    • Must have an interest in education policy and modest experience in an office environment

    Special Knowledge, Skills, and Abilities

    • Must have demonstrable, exceptional writing skills.
    • Strong MS Office suite skills, including word, excel and PowerPoint. (Knowledge of iPhone and Mac products is a plus.)
    • Must be highly accurate, organized and highly detail-oriented (meticulous).
    • Proven track record of initiative and follow-through.
    • Must be highly collaborative, able to work with a diverse population and have strong teamwork skills.
    • Excellent verbal and written communication skills; must be able to draft professional emails and short communication pieces without grammatical errors.
    • Ability to interact in a variety of important social contexts appropriately.

    During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

    The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
