The administrative specialist will provide administrative support to the Office of the Associate Vice President for Student Engagement and the Office of Student Activities. This position will provide administrative support including, but not limited to, appointment scheduling, correspondence, travel, calendar management, student staff management, budget reconciliation, development of reports and presentations, and database management. This position also provides triage for, and interface with, six additional departments and their staff. The position requires a professional that can maintain confidentiality, interact with difficult publics, and have extraordinary written and interpersonal communication skills, with very fine-tuned attention to detail.

Qualifications

Bachelor’s degree with five or more years of full-time administrative experience, working in a fast-paced environment.

Preferably within a college or university setting.

Job Specific Qualifications

Working knowledge of Microsoft Office Suite, PeopleSoft applications, and database management.

Candidate must have excellent interpersonal communication skills, a strong attention to detail and ability to interact with difficult and sensitive subject matter.

Responsibilities

Provides administrative support to the AVP and the Office of Student Activities including, but not limited to, travel, meeting planning, appointment scheduling, correspondence, special projects, development of reports and presentations, and database management. Provides triage for, and interface with, seven (7) departments and their staff within the Discovery & Engagement portfolio. Recruit, Train and supervise the student front desk assistants (FDA’s), in opening and closing procedures, as well as training on proper etiquette in answering phone calls or addressing visitor’s needs.

Monitors OAVP budget to include reconciliation of expenditures, procurement card verification statements, and payroll for the portfolio.

Provides administrative support to Co-curricular to include scheduling meetings, scanning and distribution of applications to committee members, keeps meeting minutes, and reconciling/updating the budget spreadsheet for the project each month.

Interfaces with senior executives and their staff, from across campus, in the delivery of information and services; solve complex problems related to cross-departmental administration and student life topics; manages confidential human resource, financial and portfolio information for the associate vice president.

Applies well-developed analytical, cognitive, technical and/or computer skills with a focus on Microsoft Office Suite, PeopleSoft and PowerPoint applications, and database management.
