Primary Purpose of Organizational Unit

The Office of the Registrar, located in James Hall, supports UNCW’s mission by providing academic support services including student services and academic records management; degree and diploma processing; student academic information systems management; administration of regulations and policies of the Faculty Senate, academic eligibility of athletes and, as prescribed in the policies of the university and the Code of the University of North Carolina, maintenance of archives; and system-wide reporting (in collaboration with the Office of Institutional Research and Assessment) of enrollment, courses and degrees awarded.

The Office of the Registrar:

  • Maintains the academic record of each student who enrolls at the university;
  • Provides information about registration, academic records, residence status, and degrees while protecting the privacy of the individual;
  • Uses the latest technology and procedures that will enhance student, administrative, and faculty services while ensuring the integrity, confidentiality, and security of academic records and information;
  • Provides leadership and assistance in the development and modification of policies, procedures, and systems.

Brief Summary of Work for this Position

The Transcript Specialist provides oversight for the processing of transcripts, assuring proper release of confidential information, and adherence to university guidelines and procedures. Students may request transcripts online or in-person. Transcript output can be in paper or PDF format, as requested by the student. This position is also responsible for records and document retention, over-seeing electronic back-ups, and archival storage. In addition to transcript fulfillment, this position will be responsible for managing transient study requests.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Preferred education, professional skills and experience
  • A two or four year college degree and two or more years of office experience
  • Experience working with Ellucian Banner (student information system), Degree Works (degree audit system), and ImageNow (document imaging system) are a plus
  • Experience working within an enrollment services office and/or within a Registrar’s office is preferred


Potential candidates will be expected to communicate effectively (in-person, in writing, and on the phone) with students, staff, faculty, alumni, and other public agencies regarding academic policies and procedures.
