General summary/purpose:
The HR Specialist is responsible for day-to-day human resources support within the School of Education. This role will provide complex administrative support to the Human Resources, Payroll and the School. The HR Specialist independently manages projects, develop and maintain positive working relationships internally and externally to the department, the University, and with all those they personally encounter including University representatives, faculty, staff, and students.
This position is responsible for a wide range of human resources
support and consulting services to department managers,
supervisors, faculty and staff covering the following areas:
onboarding experience for new faculty and staff including emails
and training compliance, supporting new hire orientation (HR
topics), new manager orientation (HR topics), training on HR
systems, processes and policies. This role will also focus on
special projects related to HR which include: supporting DEI
efforts, staff engagement and talent development, maintaining the
internal training and development calendar including; advertising,
tracking attendance and post-training evaluations, other staff
engagement events and presenting HR content during trainings,
meetings and presentations.

Specific duties & responsibilities:
HR Project
Management (65%)
• In collaboration with the HR Manager, leads Diversity and
Inclusion efforts including administrative tasks.
• Facilitates staff engagement and talent development efforts:
maintain the internal training and development calendar including;
advertising, tracking attendance and post-training evaluations,
other staff engagement events and presenting HR content during
trainings, meetings and presentations.
• Leads the development and implementation of employee programs to
ensure employee awareness, understanding and participation in
programs related to increasing engagement
• Plans and oversees employee recognition programs
• Manages the project to transfer hard copy files to electronic
systems and organizes and maintains electronic files (on an
on-going basis).
• Manages HR department’s Inside Education webpage and work
collaboratively with the Marketing and Communications team to
ensure that online materials are up-to-date.
• Supports faculty search committees’ requests for compliance
reporting and data within Interfolio.
• Locates and compiles data for preparation of periodic ad hoc
reports using SAP, Success Factors, Interfolio. Familiarity with
data analysis. Format reports, graphs, tables, records and other
sources of information; assemble and categorized data for written
computation and calculations.
• Participates in departmental audits and assists with preparing
audit documentation.
• Perform other duties as required.
HR Admin Support
(15%)
• Ensures smooth management of the day to-day administrative
operations of the Human Resources and is expected to act as an
information resource and help with faculty, administration and
staff as well as contacts from outside the division while enforcing
HR policies and practices.
• Coordinates complex meetings, prepare and distribute meeting
materials and agendas as needed.
• Applies strong writing skills to draft, proofread, and edit a
variety of written materials such as HR letters, other
correspondence, and presentations.
• Provides complex administrative support to the HR Manager
including report preparation, proofing and editing.
• Monitors, maintain and order office supplies as needed.
• Performs other duties as required.
Payroll, HRIS and
Financial Systems (using SAP) (15%)
• Cross-trains on basic SAP /Employee Actions to assist in HR
transactions as needed (during high-volume seasons).
• Uses SAP to process ISR types for recruitment, to change and
create new positions, terminations, revise position attributes,
process over payments, overtime, approved leave and verify
data.
• Runs reports in SAP and other payroll management systems to
verify payroll transactions
• Performs other duties as required.
School-wide Events
(5%)
• Arranges special HR related events, meetings, trainings, etc
(in-person and virtual) and support school-wide events as
needed.
• Responsible for staffing various HR projects and meetings:
ensuring event/meeting logistics, confirming attendance, taking
minutes, noting milestones for the project and disseminating to
participants.
• Plans, coordinates and/or supports routine and special events,
activities, meetings, seminars, presentations and help host
visitors; this includes but is not limited to: reserving rooms/Zoom
rooms or venues, setting up, tearing down and cleaning rooms,
ordering or purchasing and setting up food and supplies, and
audiovisual set-up or coordination; schedule meetings for various
individuals or groups of staff by finding dates, times and meeting
space and communicate appropriately.
• Performs other duties as required.
Minimum qualifications (mandatory):
• High School Diploma/GED.
• Three years related experience.
• Additional education may substitute for required experience, to
the extent permitted by the JHU equivalency formula.
Preferred
qualifications:
• Bachelor’s Degree.
• Three to five years of progressively responsible Human Resources
experience with a focus on employee relations, employee engagement,
recruitment, training and development.
Level of

responsibilities. Makes decisions regarding assigned projects and
consults with HR Manager on intermediate to more complex
matters.

• Knowledge of SAP or ability to quickly learn.
• Entry-level project management experience.
• Knowledge of MSOffice Suite, including creating spreadsheets with
embedded formulas.
• High degree of comfort working with large databases.
• Working knowledge of federal, state and local laws and
regulations in human resources
• Strong data entry skills
• Must be detail oriented and have strong organizational
skills
• Strong oral and written communication skills, with the ability to
clearly and concisely write emails and letters that employ good
business s form and grammar.
