General purpose: Oversee and
coordinate the faculty contract process for all full-time and
part-time faculty, including data collection and issuing of
contracts. Support Vice President for Academic Affairs (VPAA) &
Provost in administering the annual budget process for Academic
Affairs and monitor Academic Affairs faculty salary, operating and
capital budgets. Provide reports on faculty for institutional
research and budget purposes, including projections of faculty
workload and salary in accordance with goals and objectives of the
College. Oversee and coordinate policy and practice relating to
full-time and part-time faculty contracts, travel stipends, and the
maintenance of faculty personnel records.
Summary of Essential Functions
- Forecast and track all academic budgets & faculty personnel records; compensatory and non-compensatory
- Advise and coordinate annual budget development process
- Oversee contract administration of faculty terms of employment for Faculty Handbook and SEIU Collective Bargaining Agreement
- Serve on Academic Affairs and campus-wide workgroups for managing and improving budget and personnel enterprise system (WorkDay).
- Monitor and maintain Academic Affairs operating and capital budgets, and work with Provost’s Council and operations staff in Undergraduate, Graduate, and Open Studies to coordinate annual budget process.
- Work Provost’s Council and operations staff in Undergraduate, Graduate, and Open Studies and Financial Affairs division in managing and reconciling departmental budgets & finances
- Work with enrollment services and academic divisions to coordinate and reconcile faculty teaching assignments and workload
- Manage faculty records including contract renewal, retirement, and sabbatical eligibility schedules
- Manage generation and issuing of undergraduate and graduate faculty contracts and determine travel stipend amounts
- Work with Human Resources and Payroll to ensure timely processing of faculty contracts
- Work with Financial Affairs, Technology, and Human Resources on the development and management of systems for managing faculty contracts and records
- Work with academic divisions to establish placement on the salary scale for all part-time faculty according to their education, work, and professional experience
- Act as general budget administrator for Academic Affairs division, approving or denying transactions and expenses up to $5K
- Develop internal and external benchmark reports to be used for statistical purposes, to develop future operating budgets, and to determine future salary projections for faculty
- Assist VPAA & Provost with budget analysis to determine operating budget increases and reductions for future fiscal years
- Perform other related duties as assigned
- Knowledge of payroll concepts and contract practices
- High level of organization and orientation to detail; resourcefulness; effective communication and listening; strong collaboration skills
- Data management, application, and business systems skills including WorkDay, MS Excel, MS Word, SQL, strong numeracy and mathematical understanding of budgets and budget strategies
- Ability to analyze figures & translate into readable budget information and reports
- Ability to gain and maintain the confidence and cooperation of staff, faculty, and administrative colleagues
- Bachelor’s degree
- Experience in higher education or other complex organizational/business environment
- Demonstrated capability in budget management, operations, planning, or related field
- Ability to manage complex projects and processes
- Proficiency with spreadsheets, databases, and word processing
- Experience with employment contracts and/or faculty relations in a higher education environment
- Experience working with enterprise level solutions for Finance and Human Resources operations
- Masters degree in related field
