General Summary

Serves as primary academic contact for the graduate students in the Master of Public Health program cohorts including DNP/MPH, iHope, IIHMR, and MPH-Barcelona. Provides back-up advising and support to the Senior Academic Advisors and students in the full-time and part-time/online MPH programs. Monitors academic progress of students from time of matriculation through degree completion. A key liaison between faculty advisors and students. Recruits students. As part of the academic advising team, coordinates and implements the MPH Program Orientations for these cohorts. Assists with database management and maintenance.

Essential Job Functions

  • Recruiting
    • Communicate the curriculum with a broad understanding of public health to prospective MPH students;
    • Advise prospective students regarding curriculum and public health career options via phone, email, web chat sessions, and open houses;
    • Identify innovative ways to promote the program in collaboration with the Admissions and External Affairs Offices;
  • Academic Advising
    • Key contact for students through the entire cycle i.e., recruitment, matriculation, retention, graduation, and post graduation;
    • Interpret and communicate academic policies and procedures to prospective and current students;
    • Communicate key academic and career-related information during individual and group advising sessions;
    • Provide leadership and support for MPH special events including symposiums, seminars and open houses;
    • Responsible for completing graduation audits and submitting the graduation approval list in conjunction with the Records Office
  • Faculty Liaison
    • A key liaison between MPH Executive Board members and students in advisor assignments, which requires a broad understanding of the content areas of the academic departments;
    • Staff the Faculty Student Matters Subcommittee;
    • Identify common themes and issues among the students to bring to the attention of the MPH Executive Board;
    • Knowledgeable and able to triage to appropriate faculty members questions from prospective and current students about their educational and career goals in public health.
  • Orientations
    • Manages MPH Program Orientations for the incoming students of these cohorts
    • Advise students on preparing for Orientation, coursework, and logistics associated with the program;
    • Develops online pre-orientation introductory MPH program CoursePlus sites.
    • Develops and maintains student program manual.
  • Database Management
    • Advanced knowledge of Microsoft Access Database preferred.
    • Supports database system maintenance for student record keeping and tracking.
    • Creates reports and presentation of data on MPH students, advisors, etc.

Essential Skills

  • Excellent interpersonal skills particularly within the context of an extremely diverse and accomplished student body. Ability to relate effectively to accomplished professionals including physicians, lawyers, nurses, educators who are juggling the responsibilities of pursuing both their professional and academic careers. Ability to communicate effectively with students through emails, list serves, discussion forums, phone appointments, etc. Prior academic advising experience with graduate students is preferred.
  • Interact effectively with a broad range of faculty, MPH Program staff, and colleagues throughout the school. A strong individual performer and team player. Must be able to collaborate collegially as part of the MPH program team and with other offices within the School. Must be flexible to support other activities and endeavors of the MPH Program office as needed.
  • Strong time management skills with the ability to provide support for students with significant needs while serving the entire MPH student body at the same time. The ability to discern which students require a quick appointment and which students need extensive support. Serve as an advocate for individual students and the student body as a whole.
  • Excellent communication skills particularly within the context of working one-on-one with MPH students from initial inquiry to the school to graduation and beyond.
  • Strong computer skills including preparation of detailed tables and documents. Proficiency in computer applications such as MS Office products, Adobe Acrobat, and survey design software (Qualtrics). Knowledge of Johns Hopkins organizational structure, administrative procedures, and data systems (SIS, SOPHAS, & CoursePlus) preferred.


Scope of Responsibility

Becomes knowledgeable regarding:

  • A general understanding of the field of public health with an intellectual curiosity to learn more about the various research and practice areas within the School;
  • The MPH Program as a whole with particular attention to the academic standards, policies and procedures of the program;
  • Johns Hopkins organizational structure, administrative procedures, and data systems (SIS, SOPHAS, & CoursePlus)
  • The various academic and professional degrees within the school and the different academic departments within the School;
  • Formal and informal office goals;
  • The multiple roles of colleagues within the MPH Program Office.;
  • The role of the MPH Program Office with the various faculty and academic departments.


Decision Making

On a regular and continuous basis, exercises administrative judgment and assumes responsibility for decisions, consequences and results having an impact on people and the efficiency and/or quality of the overall operation of the office. Accurately assesses whether students are best supported by MPH Program staff or if a referral to faculty or other professionals is more appropriate. Must be able to multitask and manage ongoing competing priorities. Strong problem-solving abilities to handle a variety of student issues required.


Communication

Possesses strong oral and written communication skills. Adept at communicating with a diverse population of both domestic and international graduate students with a broad range of professional backgrounds. Adept at communicating with faculty, other administrative offices and University personnel.

Education

Required: Master’s Degree in student services or educational administration, public health, or other related field.

Experience

Three years of experience working in student services, public health, or other related field. Prior experience in academic advising preferred.
