General Summary/Purpose

The Sr. Administrative Coordinator provides complex administrative and project support for the Department Director (Chair) of Radiology and other members of the leadership team. This position will oversee all operational activities of the Chair’s Office, resolve complex administrative issues, and prepare correspondence and presentations.

Specific Duties & Responsibilities

  • Provide high-level administrative and operational support for the Chair of the Department of Radiology including managing the Chair’s calendar and schedule, answering phone calls, receiving guests and overall operations of the Chair’s Office.
  • Effectively communicate with guests, department chair, faculty, department administrators and professional colleagues over the telephone, in-person and in written correspondence.
  • Drafts/circulates communications on behalf of the office of the Chair.
  • Identifies and resolves administrative problems and issues.
  • Manages document retention and filing (electronic and hard copy).
  • Maintains office equipment; serves as liaison for the Chair’s office with IT, facilities and other teams.
  • Initiates procurement transactions and supply orders. Orders and maintains adequate office supplies and equipment.
  • Communicate priorities of the Chair to faculty and obtain documents as needed from Division Chiefs, Vice Chairs, faculty and administration.
  • Arrange A/V and other meeting set-up logistics for Faculty Meetings and other meetings as necessary.
  • Ability to run, pull and create reports from various systems when needed.
  • Makes travel arrangements as needed for Department Chair and any physician recruitment candidates.
  • Manage special projects as assigned and plan special events as needed.

Minimum Qualifications(Required)

High School Diploma/GED.

Five (5) years progressively responsible administrative experience.

Additional education may substitute for required experience, to the extent permitted by the* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

Special Knowledge, Skills, and Abilities

Experience working with various software applications required.

Need to have very careful, detail-oriented work habits.

Must have expert skills with use of word-processing, database and web page software.

Final candidate for this position may be required to complete a skills assessment appropriate to position description.

Computer skills and organizational skills required.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
