This posting is a full time, 10 month position. The Assistant supervises the student workforce for Campus Support Services including the Mail Room, Copy Center, and Purchasing/Procurement. The Assistant shall manage all aspects of the mail room and copy centers, and help with small purchasing projects. The Assistant shall ensure that high quality, safe, efficient, cost effective services are provided by the department and ensure compliance with all state, local and federal laws, rules, and regulations and University's policies and procedures.

Duties and Responsibilities: include the following. Other duties may be assigned.
• Assist Support Services team to provide University wide mail and copy services.
• Assist in interviews for hiring student staff, and oversee training.
• Maintain copiers in the copy centers to include paper and supply orders, and minor equipment repair.
• Pick up, sort and disburse all incoming and outgoing mail, FedEx, UPS, USPS, common carrier and other deliveries.
• Deliver outgoing mail to the post office, student dormitories and departments throughout the University.
• Responsible for development of monthly mail reports, ensures correct account charges for department use of Mail Service Center and Copy Center.
• Maintains mail box systems for students and faculty.
• Keeps all mailing permits, service contracts and leases up to date
• Coordinates department functions include employee schedules, time cards, planning, scheduling and coordinating activities. Participates in continuous quality improvement and cost saving activities as needed/required.
• Supports safety initiatives and ensures that all employees are trained in and adhere to required safety policies and practices.
• Trains and develops subordinates to more effectively perform their job.
• Ensures that work is professionally performed with a high level of quality.
• Directs and coordinates activities of student labor engaged in the receipt, processing and delivery of inbound and outbound mail and copy center services for University staff and students
• Receives and secures hazardous material and ensures safety training is provided for staff and that all safety and security requirements are followed.
• Manages request that come through the Campus Support Services website in a timely manner.
• Assume responsibility/accountability for delivering project assigned tasks
• Performs other duties as assigned.
• Provides great customer service.Qualifications
• High School diploma or equivalent required. Associates degree is recommended, but not required, can be substituted for experience in the business field.
• Must have excellent written and verbal communication skills, strong customer service skills, and good problem solving abilities. Good working knowledge of computers required, such as MS Office. Must be flexible and willing to take on additional assignments as required by the Receiving and Purchasing Department as necessary.

Education and/or Experience
Demonstrated successful supervisory experience required
• Valid Maine driver's license required
• Good organizational and communication skills Strong computer skills.
• Strong leadership, interpersonal, and communication skills.
• Ability to work independently or with a team.
• Reliable attendance and diligence to the job at hand.
• Must have and demonstrate hospitality and customer service skills.
• Have the ability to resolve equipment problems (such as clearing copier jams
• Knowledge of postal regulations and requirements
• Ability to learn quickly and adapt to changes.
• Demonstrated ability to organize and prioritize multiple tasks and to work with interruptions.
