Summary/Objective

Utilizing stellar customer service practices, the Recruitment Specialist serves as the first point of contact and administrative support for the Recruitment Team within the Office of Human Resources. Additionally, the Specialist is responsible for supporting the recruitment and hiring process for staff hiring at the University. The Specialist engages many University Stakeholders including; prospective applicants, hiring managers, HR representatives, and other internal and external stakeholders regarding the overarching hiring process, the online application tracking system, and the overall job searchprocess. This position supports the Recruitment Team administratively, ensuring job descriptions are loaded into the applicant tracking system, assisting departments with posting jobs and providing support for system users. The Recruitment Specialist also monitors and supports background check compliance.

Supervisory Responsibility
  • Recruitment Specialist may supervise one part-time student employee


Essential Functions

1. Administrative support:

a. Creates/reviews and distributes staff offer, promotion/transfer, and probation letters

b. Manages general recruitment team e-mail accounts

c. Assists Director and Recruitment Team with administrative projects as needed

d. Monitors background check compliance for staff members newly hired to the University.

e. Meets weekly with recruiters to align candidate searches with priorities from the staffing forecast.

2. HR Representative and Hiring Manager Engagement:

a. Reviews and enters staff job descriptions into the applicant tracking system

b. Reviews and approves job posting request for staff

c. Provides support for system users

3. Applicant Engagement:

a. Serves as the first point of contact for prospective full-time, part-time, and student staff pertaining to

application submissions, job search status, and related inquires

b. Responsible for researching, coordinating, and attending job fairs for the team

4. Student Employment

a. Supports student employer on campus with posting and navigating the hiring process for student staff.

b. Contributes to preparing reports for data analysis purposes

c. Assists with preparing and conducting the best practice in hiring and supervising student employees training

Essential Functions Continued

5. Full Cycle Recruitment

a. Supports the overall search process by consulting and advising hiring managers on using established best practices of recruiting and talent acquisition. Monitors the hiring process to ensure that established procedures are followed. Screens resumes, conducts phone interviews, checks references, advises departments on the selection of candidates and compensation, and coordinates new hire onboarding.

b. Works with hiring supervisor and recruiters to determine appropriate compensation and draft offer letters for HR and Hiring Manager approval.

c. Advises on relocation procedures as applicable.

d. Support the diversity goals of the university by working with others to ensure that the recruiting methods used ensure a diverse applicant pool for all positions.

e. Initiate and support new recruiting initiatives to attract well qualified applicants and retain staff.

6. New Staff Orientation

a. Serves as Recruitment Team main point of contact for coordinating logistics

b. Responsible for working with vendors and ordering orientation materials and oversees the assembly and delivery of orientation materials

c. Emails the bi-weekly New Hire Orientation List to the appropriate University employees

d. Serves as a point of contact for new hires for offer letter and orientation questions

e. Works with all new hires at Orientation to ensure they have a positive experience

f. Ensures new hires have clear instructions on where to report after completion of Orientation

g. Verifies all requirements are in order prior to orientation.

h. May facilitate portions of orientation as needed.

Required Education and Experience
  • Bachelor's degree or equivalent in experience, training, etc.
  • 2-4 years of relevant experience
  • The incumbent must have experience delivering high quality customer service
  • Attention to detail

  • Collaborative work style
  • Familiarity with computer programs such as Word, Excel, and PowerPoint


Preferred Education and Experience
  • Experience with an online application system is desirable
  • Core knowledge of HR compliance and applicable district and federal laws, regulations, and statutes
  • Current knowledge of recruiting best practices and trends
