Position Summary:

The Development Coordinator position is vital to the success of the Johns Hopkins University Sheridan Libraries and University Museums. Reporting to and providing direct support to the Associate Dear for External Affairs, the position also supports the development and public affairs team with implementation of projects, specifically with stewardship, alumni events, gift processing and the annual fund for the libraries and the membership program for the museums. The position will play a lead role in the creation and implementation of systems and processes that will proactively track gifts to the libraries and museums and recognize donors, resulting in more robust funding and engagement results. This position will support and coordinate systems and processes for donor stewardship and is responsible for processing all charitable gifts to the Sheridan Libraries and University Museums. Prepares and makes deposits. Manages all acknowledgment letters. Communicates recent donations to the Dean and External Affairs staff. Maintains constituent records in the University’s donor database. Manages stewardship for the libraries and museums donors. Oversees the membership program for the JHU Museums. Serves as administrative assistant to the Associate Dean for External Affairs

Responsibilities:

  • Provide administrative support for the Associate Dean for External Affairs including but not limited to, scheduling, travel arrangements and visit reports and entries.
  • Run monthly donor reports for analysis and summary.
  • Maintain the Prospect Management System for the Dean and Associate Dean.
  • Maintain gift records and development files (hard and electronic).
  • Maintain development calendar.
  • Compose and edit thank you letters for the Dean, Associate Dean, Museums Director and External Affairs staff.
  • Maintain inventory of printed materials and development publications.
  • Serve as liaison to Business Services and Institutional Donor Relations.
  • Manage student workers as needed.
  • Process expense reports.
  • Manage the stewardship process for the Libraries and Museums.
  • Manage JHU Museums membership program.
  • Serve as the first point of contact for museum members.
  • Coordinate membership renewals, solicitations, listings, and benefit fulfilment.
  • Serve as board secretary for the Evergreen House Foundation.
  • Assist the Dean and Associate Dean in managing the Sheridan Libraries Advisory Board.

Qualifications:

High School Diploma/GED required. Bachelor’s degree strongly preferred. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. Three years related experience required. Computer competencies, excellent verbal communication and writing skills, knowledge of JHU development systems preferred.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
