General
Summary:
The Sr. HR Coordinator reports directly to the HR Generalist(s) to
ensure smooth and efficient functioning for various divisions
within the Department of Medicine (DOM). Responsible for the
majority of human resource related issues and concerns by providing
information, advice, guidance, and support, in collaboration with
HR Generalist and central human resources as needed. This position
supports the HR Generalist(s) to ensure compliance with university
policy and procedure and exercises independent judgment in the
resolution of human resource issues. Provides accurate, timely,
routine customer focused HR support to divisions. Assists HR
Generalist(s) and Division Administrators with special
projects.

Specific Duties
& Responsibilities:
Payroll Management
Primary point of contact for employees (faculty, staff, students,
postdoctoral fellows) for payroll
• Responsible for managing and tracking all SAP Internal Service
Requests (ISR), including promotions, transfers, reclassifications,
salary increases, overtime, supplemental payments, etc.
• Advises on payroll policies and procedures
• Assures that payroll is processed timely and accurately
• Maintains system to track faculty/staff payroll information and
generate reports
• Implements system to monitor/ resolve payroll issues: salary
distribution/supplements/merit increases/terminations
• Monitor and recoup overpayments
• Responsible for the distribution, documentation and processing of
120-day and annual reviews from HR to supervisor
• Coordinates annual performance review process and communicates
with supervisors regarding completion of reviews in Success
Factors. Uses guidelines to determine annual increases;
communicates changes to staff.
• Responsible for the pickup and timely distribution of all payroll
checks
Recruitment and
Selection
Assists HR Generalist with the recruiting, new hire and termination
process of all faculty, postdoctoral fellows and staff. Coordinate
employment process by working with faculty, staff, administration
and appropriate University School of Medicine (SOM), Department of
Medicine (DOM) and Johns Hopkins Health System (JHHS) offices to
ensure efficient and smooth process in accordance with all
applicable policies and procedures.
• Primary point of contact for all requisitions and acts as the
liaison to the SOM and JHHS employment recruiters as it related to
personnel requisitions for the division
• Assists with obtaining and posting documentation for new
requisition postings within the Nexus and SuccessFactors
systems.
• Reviews job descriptions with supervisor/manager/faculty and
suggest changes based on understanding of area and need. Prepares
personnel requisitions for submission to Human Resources.
• In consultation with Generalists and compensation, prepares
offers for perspective candidates with recruitment
specialists
• Assists when needed to coordinate candidate interviews,
completion of references and employment verifications as
needed.
• Assists with credentialing midlevel providers, postdocs, faculty,
etc.
• Coordinate onboarding check list for new employees
• Coordinate requests and placement of temporary staff as
needed
• Maintain staff/faculty directory and ensure organizational charts
are continuously updated. May send email communications on behalf
of HR Generalist and Administration.
• Create, maintain and manage HR files for all new hires and
terminated JHU and JHHS employees
• Postdoctoral fellow/student/MSTAR) badge and JHED requests
• Schedule exit interview for terminating employees and coordinate
with supervisor the retrieval of badge, keys, computer, questions
about final paycheck, etc.
• Verify necessary paperwork has been received from new faculty,
post-docs, and residents for processing of I9 in compliance with
SOM established procedures.
Policies and
Procedures
• In collaboration with the HR Generalist, may provide guidance and
support to faculty and staff on HR policies, procedures and
processes.
Family and Medical
Leave (FML)
Assists HR Generalist in the processing of FML
• Work with staff member to obtain general information about FML
related issue
• Compile documentation in specified timeframe and provide to staff
and
• Track and update FML determinations and changes
• Insure that all FML, short-term disability, long-term disability
related time is tracked in the E210 system
• Process all leave of absence ISR’s
• Work with HR Generalist to resolve FML problems
Time/Attendance
Primary point of contact for staff and students for time and
attendance
• Maintain and update E210 time tracking system for JHU staff and
manage Kronos time management system for JHH staff. Work with
hourly employees to accurately track time thru the weekly time
sheets and process payments in SAP
• Assist HR Generalist with tracking of staff sick time, vacation,
FML, short-term disability, and long-term disability
• May travel between clinics for informational HR
sessions
Special
knowledge, skills, and abilities:
• Very strong organizational skills, analytical and problem solving
abilities and attention to detail.
• Ability to maintain confidentiality
• Strong interpersonal and communication skills, both oral and
written. Ability to effectively interact with all levels of
University and Hospital employees as well as outside
contractors
Preferred: SAP experience preferred
Minimum qualifications (mandatory):
- Bachelor’s degree in Human Resources, Business Administration, or other related field. Additional education may substitute for some experience.
- Three years of related
experience required. Must have the ability to coordinate
multi-faceted types of work. Experience in an academic or medical
setting preferred.

Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
