Secretarial Assistant I (Non-Steno) Bilingual

Reporting to the Managing Assistant Director, the Secretarial Assistant I (Non-Steno) Bilingual acts as the main point of contact for the Office and assists with secretarial and administrative clerical work, including typing of a complex and/or technical nature; oversees and coordinates necessary activities of the office; and has knowledge of university policies and procedures. This employee is Bilingual in English and Spanish; frequently exercises independent judgment in performing assigned work; and assumes responsibility for coordinating office reception services, communicating with external offices or entities and coordinating appointment schedules. The Secretarial Assistant provides support for the implementation of various programs and events for Spanish Speaking Program students and staff; and performs other related work as required. This position requires travel and a flexible schedule including evening and weekend hours.

This is not a remote position and requires a physical presence on campus as determined by the Supervisor. It requires working on campus during the COVID-19 pandemic and interacting directly with students following all procedures and protocols set forth in the University’s Restart Plan and any procedures/protocols created through additional correspondence. The employee must have the ability to wear a face covering for the duration of the workday during the COVID pandemic or as determined by university protocol.

This is a provisional appointment. The selected candidate must successfully complete an exam administered by the State of New Jersey Civil Service Commission in order to be eligible for a regular appointment.

Qualifications: Three (3) years of experience in secretarial and administrative clerical work is required. Applicants must have the ability to read, write, speak, understand, or communicate in English and Spanish sufficiently to perform the duties of this position. Candidate must be proficient in all Microsoft Office products including, but not limited to: Access, Excel, Word and Outlook and have the ability to work with students, faculty and staff from diverse backgrounds. Knowledge of accounting budget systems such as Ellucian is preferred. Excellent oral and written communication skills are essential.

Candidacy review begins immediately and continues until an appointment is made. Official transcripts for all degrees are required prior to appointment.
