Human Resources Coordinator – Compensation
District Office at 3901 S. State Street
City Colleges of Chicago (CCC), the largest community college system in Illinois, is made up of seven colleges and five satellite sites, providing more than 70,000 students each year access to a quality, affordable education.
Reporting to the Manager- Compensation Design and Strategy, the Human Resources Coordinator-Compensation performs professional, technical and administrative activities to support the work activities of HR Department’s district level HR functions in the areas of compensation, classification and job descriptions administration. Position a ssists with day-to-day operations of the department and provides administrative support to the Manager.
This is an entry-level, professional HR position, assisting with the day-to-day operations and providing support to the Manager-Compensation Design and Strategy.
Your Responsibilities
- Maintains and provides access to accurate, timely and relevant administrative and compensation data, using Excel and various in-house systems (i.e. Peoplesoft) to retrieve, compile and gather employee and compensation data and prepare reports.
- Assists in conducting research on issues relating to CCC’s compensation program and policies, and prepares reports summarizing findings, working closely with the Manager of Compensation Design and Strategy.
- Assists in reviewing hourly wages and salaries to evaluate internal equity, external competitiveness, and legal compliance of the District’s pay practices and bargaining agreements.
- Conducts research, taking steps to determine appropriate methodology and sources, including contacting other organizations to obtain salary and related compensation data.
- Prepares various Excel reports using advanced functions to assists in preparing reports and presentations on compensation issues to management in a user-friendly format.
- Reviews and analyzes payroll data (HRIS/payroll system) and HR compensation data reports to assist in verifying accuracy and integrity of data. Assists in maintaining salary plans in the human resources management system
- Participates in salary surveys to gather market salary data and related compensation information. Analyzes data from purchased salary surveys and ad hoc surveys and provides supervisor with results to support compensation recommendations.
- Coordinates new job title and reclassification requests to ensure timely completion and tracks progress of requests in a centralized log. Maintains online access to active job descriptions, including adding new and updated job descriptions, identifying missing job descriptions, and removing inactive job titles.
- Supports HR staff in conducting job analysis and reviews of requests for new positions or position reclassification of positions, assisting in evaluating positions and communicating decisions to college administration for implementation.
- Monitors the Compensation department email inbox and forwards to respective parties as needed.
- Supports compensation team in administering the Special Assignments online approval function.
- Efficiently manages monthly/quarterly/annual reporting needs of the department in a timely manner.
- Assists in preparing required reports of personnel transactions mandated by the Board of Trustees. Ensures reports are submitted in a complete and timely manner.
- Creates and maintains electronic and manual files related to Compensation Programs.
- Provides staff support to district and college HR personnel on issues relating to employee compensation.
- Adheres to City Colleges of Chicago Customer Service Excellence standards.
- Performs related duties as required.
- Bachelor’s degree from an accredited college or university required.
- Prior experience in Human Resources or data analysis preferred. An equivalent combination of education and experience may be considered.
- Excellent analytical and problem-solving skills.
- Excellent verbal/written/interpersonal communication skills and organizational skills.
- Ability to conduct research.
- Demonstrated experience utilizing the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including using Excel to create reports with tables and charts using statistical data.
- Must be able to work well with employees at all levels of the organization, including internal and external stakeholders.
- Ability to handle all situations with tact, persuasiveness, and diplomacy.
- Must be able to maintain all information in a highly confidential manner.
- Ability to work within a culturally diverse environment.
- Great attention to detail and highly organized.
Chicago residency is required for all full-time employees within 6 months of hire.
