Position Purpose: The Administrative Assistant supports learning by supporting the successful operation of the School of Health Science by providing quality administrative and clerical support to the dean, department chairs, faculty, internship coordinator, and students.

  • Essential Job Functions:

  • Provides administrative and clerical support to the School of Health Science.
  • Prepares correspondence, reports and documents as requested.
  • Responds to phone inquiries; greets all who enter the office; and delivers service to customers in a way that reflects positively upon the departments and the University.
  • Assists with purchase order requisitions and tracks expenditures in monthly budget reports.
  • Provides assistance for faculty searches.
  • Maintain course syllabi on shared drives.
  • Provides assistance to adjunct instructors with the acquisition of textbooks, keys, room reservations, desk copies, etc.
  • Accesses student records and communicates electronically with students, staff and faculty.
  • Prepares and follows-up on work orders and coordinates campus services necessary for the effective operation of the programs.
  • Tracks background checks, drug tests, and TB test requirements for field/clinical experience. Supports students through process.
  • Produces meeting minutes, where applicable.
  • Initiates adjunct faculty contracts for the School of Health Science by supplying required schedule and salary information to the Provost’s office. Ensures course schedules are complete and accurate.
  • Organizes and supervises student worker.
  • Performs general office duties, including copying, faxing, ordering office supplies, filing and distributing the mail.
  • Manages internship and clinical affiliation agreements and other internship and clinical program needs, when necessary.
  • Manages external affiliation agreements for medical professional programs.


  • Essential Job Requirements:

    Education:

    • High School diploma required. Bachelor's degree preferred.


    Experience:

    • Previous office experience with proficient computer knowledge, including strong word processing skills, spreadsheet and database software abilities. MS Office skills required.
    • Experience in a medical professional setting preferred.


    Skills:

    • Excellent communication and organizational skills and a customer service orientation.
    • Ability to handle confidential information.
    • Ability to interact with a diverse group of faculty, staff, students and parents and to develop strong working relationship with colleagues, staff, administrators, students and the general public.


    Physical Requirements:

    • Ability to use a computer terminal.
    • Ability to move about campus.
    • Ability to interact via telephone, in person and via electronic media.
