WORK SCHEDULE :

Schedule varies depending on department needs.

Monday-Friday 7:30am-7:00pm

Saturday 7:30am-12:30pm

*Hours subject to change during summer, spring break and during peak enrollment periods.

Position Summary

POSITION SUMMARY
This position is responsible for assisting the training coordinators and department manager in managing program operations, market research on new topics, managing databases, tracking and recording grant metrics, starting training programs, and the preparation of the community catalog. In additional, this position will process all instructor payments and seminar expenditures through the ERP system and assist with coordinating the registrations and billing of students. Local travel required; evening and/or weekend work appropriate with demand is a must.

ESSENTIAL DUTIES AND KEY RESPONSIBILITIES
1. Develop and manage a schedule of the various seminars and short-term training programs. Assist with the preparation and attend community events, including school visits, community expos and job fairs. Lead various college tour groups and assist with monitoring Kids College student group tours and activities.
2. Assist in the selection and design of new seminar topics and short-term training programs; research training strategies: develop programs in response to market projected need, customer needs and project resources.
3. Coordinate the logistical aspects of seminars and training programs operations: entering siminars in the college ERP system, handle instructor requests, facilitate food service needs, initiate first-day arrangements, deliver materials, take photos of the classes, etc.
4. Serve as the seminar historian; maintain systems and processes to record and inform; advise staff on past offerings.
5. Perform and /or assist in preparation of all applicable reports, tracking, recording and maintaining of grant metrics, correspondence, and follow-through activities.
6. Monitor revenue expenditures; initiate payment process.
7. Assist in trainee registration, assessment, testing process and clinical/apprenticeship applications as needed to insure timely accurate processing of students, fees, test results and externship placements.
8. Assist other staff in the coordination of grant programming and related logistical requirements.
9. Update and maintain student and seminar databases.
10. Assist appropriate JJC department personnel with registrations, billing, and accounts payable.
11. Perform related duties as assigned.
