Summary/Objective

This position is funded by the Federal Work Study (FWS) Job Location and Development (JLD) Program and is charged with locating and developing off-campus jobs (FWS, non-FWS, part-time, or full-time) for currently enrolled students. This position works closely with Human Resources, the Office of Financial Aid, AU's community service FWS programs, and employers, and has oversight of AU's Public Service Work Study Program and community service FWS compliance, data collection and reporting.

Essential Functions
  1. Public Service Work Study Program Manage the Public Service Work Study Program (PWSWP), a federally funded program that partners with nonprofit and government agencies to provide students with Federal Work Study (FWS) awards opportunities for student employment, Develop and maintain relationships with public service employers (non-profit and government sectors) to increase the number of experiential, networking, employment, and FWS opportunities available to students. Ensure compliance with regulations. Recruit, hire, train and supervise the PSWSP graduate assistant. Recruit students to participates PSWSP; facilitate hiring, payroll processes, and monitor FWS earnings for all students in program. Maintain relationships with key staff liaisons in Financial Aid, Human Resources, Payroll, the Center for Community Engagement and Service and other offices to ensure that all work plans are aligned to assist students efficiently and effectively. Keep Director informed of status of current action items. Arrange and conduct site visits with existing and newly committed PSWSP employers to understand their hiring needs, work environments and industry trends, and to ensure compliance with FWS policies.
  2. Student Employment Outreach Work collaboratively with colleagues in the Career Center, Human Resources, Office of Financial Aid, and other community service FWS programs at AU to enhance student awareness of employment opportunities for students. Connect students with student employment opportunities through multiple and concurrent efforts, including the fall FWS job fair, finding Part-time Employment workshops, the development of program materials and recruitment strategies (e.g., fliers, tabling, orientation, Welcome Week, presentation, etc.). Co-plan and manage the annual fall FWS Job Fair in conjunction with Human Resources. Collaborate on and co-present the Finding Part-time Employment workshops with HR and career advisors. Assist students seeking student employment (FWS, non-FWS, part-time, full-time). Advocate for system changes to ensure student-friendly services. Monitor content of Student Jobs web pages and keep other campus offices informed of any relevant customer service concerns.
  3. Employer Outreach Establish new relationships and strengthen existing relationships with key public service employers to increase the number of experiential, networking, employment, and FWS opportunities available to AU students. Evaluate leads from a variety of sources, including but not limited to Handshake postings, QuadJobs postings, faculty and staff referrals, the local community service field, internship sites, and external job fairs. Conduct frequent phone, e-mail, and in-person meetings to establish and maintain strong relationships with alumni and employers interested in hiring AU students. Advise employers on appropriate recruiting methods for student employment. Report regularly – formally & informally – to Director on status of employer participation, with particular and immediate attention on problem areas/problem employers. Maintain accurate and up-to-date relationship management notes in Handshake.

4. Community Service Federal Work Study (FWS) Program Administration Provide oversight for and ensure compliance with federal regulations for all programs reporting community service FWS earnings (Public Service Work Study Program, DC Reads (CCES), Equal Justice Foundation (WCL), and the university library). Oversee student community service FWS earnings and manage PSWSP employer invoicing and reimbursements. Maintain detailed, auditable, and accessible records. Submit mid-year and end-of-year reports of community service FWS to the Office of Financial Aid. Collaborate with appropriate campus offices to update and revise customer service processes pertaining to student employment. Report status and problems and issues to all relevant parties. Maintain memberships in the National Student Employment Association (NSEA) and the Northeast Association of Student Employment Administrators (NASEA); attend conferences, trainings, and webinars, and review resources as appropriate. Monitor university FWS award notification timelines, acceptance deadlines, and student application rates each semester. Alert Director and university partners if enrollment rates differ from university targets.

5. Other duties Serve on Career Center committees and teams as needed. Participate in professional development activities. Complete other tasks as assigned.

Required Education and Experience
  • Bachelor's Degree
  • 1-3 years in relevant professional experience with an emphasis on program coordination, data management, and relationship management
  • Proven planning, organizational, and project management skills in high-volume environments.
  • Must be able to maintain database systems and generate reports in a timely manner.
  • Familiarity with marketing and outreach strategies and tactics.
  • Capacity to work independently and also in a highly collaborative team environment.
  • Strong analytical and reasoning skills.
  • Ability to learn quickly and carry out multiple tasks and functions with minimal supervision.
  • Must be pro-active, highly organized, and able to manage own time.
  • Excellent customer service, interpersonal, and problem-solving skills.


Preferred Education and Experience
  • Experience working in or with financial aid, career services, and/or nonprofit organizations and community service sites.
  • Familiarity with Federal Work Study (FWS) Job Location and Development (JLD) Program.
  • Understanding of current employment markets and recruiting trends.
  • Experience planning and implementing small and medium scale events.
  • Experience with contact management systems.

  • Program management skills which involves managing and implementing program activities including the development of objectives, action plans and timelines; developing, managing and evaluating program budgets, statements of work and proposals; coordination of efforts with other functional areas; conducting program studies to evaluate the effectiveness and efficiency of operations and policies; recommending and implementing process improvement efforts and enhancements to program policies, standards, systems, and/or processes; training others on program components and best practices; responding to policy and program inquiries and information requests from internal and external sources.
  • Project management skills, through experience demonstrating activities such as: project planning, resource estimating, tracking/oversight, scheduling tasks, negotiating deliverables, project administration and status reporting.
  • Skill entering, processing, storing, organizing and maintaining data.
  • Skill using email, word processing, spreadsheet/ data analysis and presentation development software applications such as Microsoft Outlook, Word, Excel and PowerPoint while preparing briefings, reports and presentations.
  • Written Communication skills: Expressing oneself clearly and concisely, using language with precision; constructing logical arguments; accurate note taking, editing and summarizing; and writing reports or correspondence free of spelling and grammatical errors.
