The Office Coordinator serves the international students, scholars, faculty and others who visit the Center for International Services at the main service desk. This member of the staff triages and provides information as the first point of contact, both in person and often on the phone. S/he/they screens walk-ins, receives requests, distributes legal documents (i.e. signed immigration forms), makes referrals and schedules appointments as necessary. The mail functions are also handled through this position: incoming and outgoing mail, including campus mail, US postal service and courier services.

This member of the staff will have additional responsibilities as assigned by the supervisor.


Associate degree preferred in any field relevant to any aspect of this work: Communications, Social Work, Counseling, International Relations, Information technology, Higher Education, Cultural Foundations of Education, Foreign languages.

Relevant experience: Costumer service, working in a fast-paced environment, experience working with a diverse population, international living or working experience and experience working in higher education.

Job Specific Qualifications

Microsoft Office, Excel, Power Point skills/familiarity.

Cross cultural interests, patience and flexibility are important attributes of the best candidate for this position.

The ability to handle pressure is needed. Multi-tasking is a must and good use of judgement.


Triage and provide information and service to over 26,000 visitors annually as the first point of contact in the Center for International Services. Greets and provides information, assess requests and needs of the students and makes referrals as appropriate. Serves as a backup to the main Office Coordinator. Manages walk in traffic and supplies and oversees the day-to-day business of the first floor of the Center.

Distribute legal documents to students and maintain files of these documents for distribution. Receive and distribute mail. Copy and/or scan documents for ONBASE filing. Create information packets, log-in sheets, and all service desk documents for advisers.

Monitor the Center’s calendar for staff and all Center’s activities, including but not limited to Walk-In traffic, seminar traffic and document processing traffic. Maintain visitor management system, including logging of walk-in traffic, collecting information, creating and distributing the data from this system.

Responsible for the opening and closing procedure of the Center. Responsible for maintaining the bulletin boards in the first floor and monitoring supplies

Support programming and educational programs as needed.
