Position Primary Purpose and General Responsibilities

The Assistant Director for Admissions Operations for VCUarts is responsible for the school’s internal admissions processing. The position provides leadership in the utilization of business intelligence, data analytics, and information systems to support the development and implementation of the undergraduate recruitment plan. Responsibilities include management of the admissions application process, daily monitoring Banner System software, and data quality control. The position oversees search services, application processing, admission decision modules, a database for recruitment and admission, and queries designed to extract information to inform data-driven decision making. In addition, this position works across multiple platforms including print and digital to manage queries used to create and coordinate the flow of communication with targeted student populations.

The Assistant Director shall be a creative, strategic and analytic administrator. This individual will be an exceptional problem solver and possess utmost integrity and a high skill level in analyzing, organizing and presenting ideas and concepts accurately both verbally and visually. The School uses SlideRoom in combination with the CommonApp and Slate, a Customer Management System, to manage the entire admissions process.

Working across a high functioning team environment, the Assistant Director for Admissions Operations will report to the Executive Director of Recruitment & Admissions and up to the Executive Associate Dean and be part of initiating, developing, implementing, and supporting the established recruitment strategies. The Assistant Director for Admissions Operations provides training, troubleshooting and support of multiple undergraduate and graduate prospect and applicant transactions. An interface with University officials on admissions and recruitment issues is regular and ongoing. Major responsibilities include creating and producing a wide variety of reports related to admissions and recruitment; testing, training and direction to a large user group with the various technological aspects of the admissions processes; and overall support of recruitment efforts.

Responsibilities:
• Supervise data entry and administrative support staff by providing clear expectations, training and frequent feedback.
• Routinely performs quality control audits to ensure accuracy, completeness, and proper use of admissions data and to resolve identified problems.
• Complies with FERPA ; understands the proper use of and protects confidential student data.
• Follows University policies regarding the protection and storage student information.

Admissions Processing & Reporting
• Provides support to all aspects of admissions operations for the School of the Arts, including planning, recruitment, enrollment procedures, maintaining records and reporting.
• Prepares and disseminates regular reports on the admission process and characteristics of the incoming cohorts of students.
• Works closely with the processing staff in the University Admissions Office as needed to resolve issues and stay abreast of changing protocols; reports issues and changes to Arts Admissions Office.
• Provides support to applicants in regards to submitting necessary application materials.
• Regularly removes duplicate records in database and audits admissions decisions.
• Manages the timely reporting of admissions decisions to the University Admissions Office.
• Processes Change of Major applications and sends decisions to Records and Registration.
• Serves as a liaison between arts departments and the database/server administrator.
• Provides support and coordinates training for Slate ( CRM ) and SlideRoom.
• Generates reports on decisions made and sends to admissions regularly.
• Generates reports on completed auditions dates of performing arts applicants and sends to University Admissions to update the Banner checklist.
• Updates student status/type after the end of each semester according to Banner graduation information.
• Recommends process improvements and/or changes to improve efficiency in admissions operations.
• Creates ad hoc reports with utmost accuracy at the request of supervisor and/or Office of the Dean.

Recruitment
• Engages with the Director of Undergraduate Admissions with coordinating a large variety of special events, open houses, National Portfolio Days and other recruitment related activities, both on and off campus.
• Ensures prospective student contact information is entered into Slate appropriately.
• Monitors names offered for purchase by CollegeBoard; prepares purchase request immediately upon availability.
• Provides the VCUarts Office of Communications with targeted mailing lists of prospective students for print and email campaigns.
• With admissions administrators and school leadership, analyzes data from all initiatives including emails, publications, and events to determine effectiveness and create improved recruitment strategies.
• Routinely supports the assessment and evaluation of recruitment procedures and policies to ensure university compliance and effectiveness in collaboration with the School of the Arts.
• Other duties as assigned.

Minimum Hiring Standards

Required Qualifications:
• Bachelor’s degree and Master’s degree required, and/or training and professional experience that equates to a graduate degree.
• Experience performing a variety of challenging processes and operational tasks using a variety of technology.
• Knowledge and understanding of undergraduate admissions and recruitment practices and principles.
• Knowledge of and being current on issues and trends in higher education admissions is necessary.
• Advanced use of Excel.
• Demonstrated experience working in and fostering a diverse faculty, staff, and student environment, or have a commitment to do so as a staff member at VCU .
• Accuracy in data entry, attention to detail and timely follow through is essential.
• The ability to develop and clearly present data in an understandable format through text, charts and graphs is required.
• Exceptional communication skills, including listening, writing, and speaking skills.
• Ability to prioritize work, handle multiple priorities simultaneously, meet deadlines and respond timely to customer queries.
• Excellent interpersonal and team skills and the ability to effectively and positively interact with a diverse range of people; experience in or potential to work in a culturally diverse work environment.

Preferred Hiring Standards

Preferred Qualifications:
• Previous college admissions experience is strongly preferred.
• Experience working in a higher education setting that offers a range of art disciplines is preferred.
• Working knowledge of the University and the School of the Arts admissions procedures as well as knowledge of the School’s undergraduate programs, is preferred.
• Knowledge of SCT Banner, SlideRoom, Slate ( CRM ) is preferred.
• Experience supervising, training and evaluating staff is preferred.
