Position Summary

The School of Management at the University at Buffalo is seeking a Human Resources Specialist to manage all aspects of recruitment, personnel transactions, and payroll processes for all full-time and part-time faculty and staff positions. The Human Resources Specialist will be a part of the Dean’s Office Administration and will report to the Senior Manager of Academic Programs. This position will also collaborate closely with the Unit Budget Officer, faculty, staff, and various University offices. Responsibilities will include:

  • Processing and monitoring faculty appointments, reappointments, also receives, extra service, and summer payroll.
  • Ensuring compliance with applicable laws, union agreements, SUNY policy, etc.
  • Acting as primary faculty HR liaison for the School of Management with other university departments, including but not limited to: Human Resources, Payroll, Benefits and UB Immigration Services.
  • Managing and coordinating communication between hiring department/departmental supervisors and new faculty.
  • Onboarding new adjuncts, staff and faculty.
  • Processing all faculty recruitment through the online system, UBJobs. Required to have knowledge and understanding of HR requirements needed to process changes.
  • Assist Senior Manager of Academic Programs with immigration questions and issues.
  • Calculating part-time biweekly adjuncts’ pay rates, preparing appointment letters and extra service forms, as directed by the Associate Dean for Academic Programs.
  • Collecting and cataloguing CVs, managing and maintaining faculty annual review worksheets.
  • Process UUP, CSEA and UBF staff transactions in UBjobs and ePTF, such as job postings, offers, employee changes, etc.
  • Maintain accurate electronic file system for all personnel documents, including appropriate storage of sensitive and category 1 data.

    Minimum Qualifications

    Bachelor’s Degree. Professional work experience with online recruitment, personnel transactions and employee information systems. Strong computer and communication skills and experience in spreadsheets and data analysis. Must have the ability to manage tasks independently as well as work collaboratively with the leadership team.

    Preferred Qualifications

    Experience in a HR role in a higher education setting, working with staff, faculty and students, preferably in an academic unit. Familiarity with SUNY and NYS HR rules and UB systems preferred (UBJobs, ePTF, SIRI ).
