PRIMARY OBJECTIVE

Reporting to the Executive Director of Academic Process & Policy, the Bookstore Manager functions as the primary liaison and relationship manager with CCC’s bookstore vendor, Barnes and Noble, and is responsible for the overall management of CCC’s online bookstore operations.

The Bookstore Manager is accountable for the effective and timely communication of bookstore processes to faculty, students and staff; monitoring operations to ensure the delivery of high-quality services and provide input for continuous improvement; and overseeing vendor services to ensure compliance with contract terms and conditions. Performs related duties as required.

ESSENTIAL DUTIES

  • Collaborates with the bookstore vendor on all aspects of the CCC bookstore operations to ensure faculty textbook adoption and student book ordering processes are efficiently administered each semester with a minimum of delays and in adherence to contract’s terms and conditions.
  • Creates a calendar and timeline for book adoption and student purchasing activities in alignment with the academic calendar and in coordination with CCC’s various departments including OIT, Records and Systems, Financial Aid, Communications, and Academic & Student Affairs.
  • Implements a customer-centric approach to operations, monitoring level of customer service and engaging the community college to provide a positive experience that proactively meets and anticipates customer needs (i.e. faculty, students, staff).
  • Works collaboratively with Business Manager – Business Enterprise in monitoring vendor’s performance as well as financial aspects relating to book vouchers, book adoption and special purchasing processes.
  • Responds to and resolves escalated faculty and students’ customer service issues and vendors issues relating to shipping, out of print texts and back-ordered items, and contractual requirements.
  • Provides information and advice to faculty and staff on issues and options relating to book adoption processes including bulk orders. Responds to questions regarding contract provisions.
  • Provides training and information sessions to faculty on book adoption processes and related purchasing procedures as needed.
  • Maintains CCC’s website on Online Bookstore and its operations. Prepares various informational materials and help guides to assist students and faculty in accessing virtual bookstore online.
  • Provides guidance and support to CCC staff identified as college bookstore contacts at each campus, assisting in the planning of on-campus bookstore activities and the resolution of faculty and student issues with online bookstore.
  • Works with college bookstore contacts to coordinate the logistics for the ship-to-campus book ordering program. Handles the hiring and assignment of staff at campuses, and assists with organizing the delivery, receipt, and issuance of books and supplies purchased by students for in-person pick-up.
  • Coordinates the consolidation and inventorying of unclaimed books. Works with campus staff on scheduling on-campus events for textbook buy-back by vendor.
  • Works with vendor in establishing a virtual CCC spirit store. Develops plans in coordination with Marketing to create an online shopping site for CCC brand apparel and merchandise.
  • Manages the library copy request process, assisting college Librarians in navigating the vendor portal to request and obtain textbooks at no cost for library use, as provided in the contract.
  • Analyzes vendor data relating to cost of books and materials and provides regular reports on costs of textbooks by academic discipline; costs across campuses, trends in book adoptions; and related cost variables.
  • Provides access to appropriate personnel to book adoption portal, voucher tool, and library request system as needed.
  • Assists vendor with inventory decisions based on student course demand, capacity, and delivery requirements.

QUALIFICATIONS

  • A Bachelor’s degree from a regionally accredited college or university.
  • Three years of experience required, five preferred, in bookstore operations, auxiliary support services and/or procurement/ contract administration, preferably within a higher education setting
  • Knowledge of general purchasing/procurement processes
  • Excellent interpersonal, verbal and written communication skills
  • Ability to cultivate and maintain partnerships with vendors and key stakeholders
  • Familiarity with relational databases and student information systems (Oracle PeopleSoft Campus Solutions) desirable
  • Some travel to college campuses required
  • Proficiency in the use of Microsoft Office (Word, Excel, PowerPoint)


Chicago residency is required for all full-time employees within 6 months of hire.
